Purpose:
In 1898, Ladies Hospital Aid Society (LHAS) began its long history of community service when 17 women met to address the pressing needs of the sick and the poor who were living in their neighborhoods. Referring to themselves as the Hebrew Ladies Hospital Aid Society, this group counted among its many philanthropic accomplishments, the opening of the original Montefiore Hospital in 1908, the construction of the current site in 1929. In 1990, Montefiore Hospital was sold and became part of the UPMC system. LHAS continues to serve the Pittsburgh community.

 

In this job, you will be cross trained on the duties of clerical and administrative support in order to optimize workflow procedures in the LHAS office and LHAS gift shops. You will assist the President and Board Members by supporting them with planning and distributing information.

Responsibilities:

  • Assist in preparing monthly reports, including financial reports for the Board. Help manage accounting activities with the Treasurer, including policies and procedures.
  • Coordinates and prepares documents for all fund raising activities with Board members and event chairs. Implements strategic planning and developmental activities.
  • Ensure all financial operations are conducted according to policy by the organizations Treasurer.
  • Helps to develop marketing plan, materials, and awareness campaigns.
  • Implements direction for short and long term operations of LHAS hospital functions.
  • In collaboration with the LHAS Board of Directors: the Administrative Assistant assist in the establishment of the mission, vision, philosophy, strategic direction and goals and objectives of LHAS.
  • Investigates, evaluates potential new programs or services to enhance and expand services to the community.
  • Maintain the positive public image of LHAS through interaction with all media and professional organizations.
  • Maintains strong relations with LHAS Board members.
  • Oversees the daily operations of LHAS and its programs. Prepares materials and proposals for the Board and Committees.
  • Provides supervision of the support staff, consisting of LHAS Office and Gift Shops and is responsible for the daily operations of office including Human Resource personnel issues and social service requests; acts as liaison with the UPMC Health System administration (maintenance, security, housekeeping) to coordinate special projects; and as liaison to all LHAS committee chairmen.
  • Recruits and train volunteers, consistently cultivating active new LHAS Members with participation in our activities.
  • Under the direction of the President of Ladies Hospital Aid Society (LHAS) of Western Pennsylvania, the Administrative Assistant represents the organization; and

Qualifications

  • Three to five years secretarial experience and training at executive level: at least two years supervisory experience required preferably in a non-profit environment.
  • Need for experienced communication and marketing skills in a small but high functioning non-profit environment.
  • Microsoft Excel and Microsoft Office Suite, Adobe design and QuickBooks proficiency.
  • Problem Solving: Is a self-starter, problem solver and has a good sense of LHAS needs, rules and regulations.
  • Acts as a role model for support staff, accountable for promoting good public relations with staff, visitors and co-workers.
  • Ability to work under pressure, prioritizing tasks and duties of support staff, in addition to completing her own duties.
  • Ability to effectively communicate orally and in writing.
  • Some retail experience is preferable.
