Description

The UPMC Corporate Benefits Team is hiring a Benefits Assistant to join their department!  This is a regular, full-time position that works between 8:30am-5:00pm, Monday through Friday, at the US Steel Tower in downtown Pittsburgh.

In this role, the Benefits Assistant provides clerical and broad support to the UPMC Corporate Benefits staff.  They perform various benefit administrative, customer service and clerical tasks, including responding to employee inquiries regarding benefits, office procedures and services, mailings and data review/entry.   Additionally, they assist the Employee Service Center with benefit administrative functions while learning about employee benefits.  This is all towards the effort to becoming a potential future candidate for a Benefit Representative role.

Responsibilities:

  • Provide public relations and customer service for the organization, maintain a clean, organized work area that is professional in appearance and assist walk-ins and visitors to the Employee Service Center.
  • Open and distribute Benefits Department mail. Distribute incoming faxes and scan/email documents to appropriate resources for processing.
  • Initial review, verification and logging of non-Portal/non-DOR forms and distribution of those various benefit documents, such as Domestic Partner Affidavits, QMSCOs, HIPP, legal correspondence, various other forms.
  • Complete data entry into the HRMS system (via DOR) to learn the in-depth benefit administrative processes and event set up.
  • Complete Initial/Continuing Aflac employer statements, Medicare forms and miscellaneous benefit verification forms via the Benefits Form Portal within prescribed timeframes.
  • Assist with department projects that require preliminary review and analysis of information.
  • Prepare and mail monthly letters like Over Age Dependents and Age 70/75 Life Reductions as well as periodic special department mailings as needed.
  • Prepare weekly enrollment letter file to TPA for new hires and status change letter mailings.
  • Provide clear and concise information to management and staff. Assist other staff in coordinating meetings, projects, preparation of materials and scheduling of conference rooms.
  • Respond to basic and general inquiries concerning benefits, materials and services from employees by thoroughly learning and understanding the Summary Plan Description (SPD) and benefit processes.
  • Prepare, coordinate and maintain an adequate supply of all benefit materials and keep the unit organized by sorting, copying, filing, scanning, boxing paper forms for off site scanning periodically; assisting with creating letters from templates and proofreading as needed.
  • Willingness to learn in-depth employee benefit information and customer service skills by making simple and general outbound and follow up calls to employees as part of training/preparation for future job opportunities in the unit.
  • Oversee office operations, which include ordering benefits supplies and materials. Ensure an adequate supply is available when needed.

 

Qualifications

  • High School Diploma and three years of experience required.
    • OR Associate Degree and one year of clerical or benefits related experience required.
    • OR Bachelor's Degree required.
