Responsible for directing, supervising and coordinating staff and operations at the physician offices and clinic sites of Cardiothoracic Surgery within various UPMC sites in order to provide quality, cost-effective care.


  • Responsible for verifying and updating referring physician information in Epic Care through the Epic Hierarchy Form
  • Responsible for scanning patient information into Epic Care according to the Scanning Rubric
  • Manage daily operations at physician offices and clinic sites and coordinates work activities. Manage schedules and call-offs. Ensure office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
  • Maintain strict confidentiality related to medical records and other data.
  • Work with Cardiothoracic Surgery management to ensure operations are aligned with organizational objectives and meets performance and budget objectives.
  • Identify and resolve work problems to ensure quality patient services.
  • Serve as departmental facilitator for all purchasing and disbursement activities where this position coordinates with UPMC departments to implement new systems and or system upgrades. Position serves to communicate and instruct department staff on these new systems/upgrades.
  • Communicate effectively with Director of Operations and physicians providing regular updates on operations. Advise management on procurement of services, supplies and equipment.
  • Under the guidance of the Controller of Cardiothoracic Surgery, manages the procurement function for the Adult Cardiac site at UPMC hospitals. This includes working with the Director of Operations to coordinate all the physical plan moves in the Clinical and Cardiothoracic Surgery Administrative offices at various UPMC hospitasl. In addition, individual works with Cardiothoracic Surgery Management in procuring supplies and equipment for the clinical practice as well as the Administrative office.



  • Associate's Degree in a Business Discipline required; OR 5 years experience.
  • 3 years experience with knowledge of medical equipment and supplies procurement, and progressive Operations management required.
  • 3 years office management experience including 1year in a health care organization preferred.
