Marketing Representative | Regulation of Emotion in ASD Adults, Children, and Teens (REAACT) Program

Description

The Marketing Representative will be expected to independently execute job functions related to projects within the Regulation of Emotion in ASD Adults, Children, and Teens (REAACT) Program for PI Carla Mazefsky and other Center PIs. The REAACT Program is focused on emotion regulation, mental health, and measure and treatment development for ASD, with an emphasis on adults. This position will support the program as a whole but with a special emphasis on building community partnerships and disseminating our work and supporting the dissemination and partnership core of an NIH Autism Center of Excellence (ACE) program project. The Marketing Representative will be supporting coordination of the Pittsburgh Adult Autism Research Community Collaborative (PAARCC). PAARCC is a community research collaborative between autism researchers at the University of Pittsburgh and autistic adults and their allies. For example, this will include establishing and maintaining contracts for members, accessible materials, and the PAARCC website.

This is a grant funded position.

Responsibilities:

Primary responsibilities are to manage initiatives in our autism research program related to community outreach, partnership building, marketing, and community education efforts, including:

  • Work with and support the Pittsburgh Adult Autism Research Community Collaborative (PAARCC). PAARCC is a community research collaborative between autism researchers at the University of Pittsburgh and autistic adults and their allies.
    • Attend monthly meetings, take notes, send reminders for meetings
    • Monitor and manage Slack
    • Manage community partners consultant contracts (generate monthly invoices, submit, monitor payments)
    • Edit agendas and materials for appropriate reading levels, support investigators providing accessible materials at least one week in advance to meetings
    • Attend twice monthly co-leader meetings for administrative support
    • Maintain quarterly PAARCC newsletter through Canva
    • Launch and maintain PAARCC website
    • Generate recommendations of ways to support community partners (sponsor events)
    • Support community partners as they attempt to help team with recruitment, etc. (e.g. help generate example templates for their websites, edit materials to share)
  • Website development and management
  • Develop and oversee social media for the center
  • Develop and distribute written material used in marketing/recruitment
  • Coordinate and speak at speaking events if needed
  • Monitor and attend conferences and other events for recruitment
  • Coordinate recruitment efforts to ensure that recruitment needs are met for all projects
  • Attend meetings and give reports/updates about recruitment
  • Support outreach efforts by scheduling meetings; scheduling conference calls, making travel and hotel arrangements, and related correspondence; make recommendations for large meeting venues and catering, ensure meetings and conferences flow smoothly
  • Generate recruitment strategies through community engagement
    • Developing relationships and managing activities with groups that have been marginalized (e.g. racial and ethnic identities, female sex, LGBTQIA+ community, intellectual disability, and rural and under-resourced communities)
  • Coordinate Continuing Education Series 
    • Coordinating going to at least 5 different settings a year for in person trainings
    • Coordinate all continuing education credits through UPMC CEU mechanism
    • Advertising
    • Helping edit and generate content (through PAARCC too)
  • Coordinate Career Development Seminar Series across all trainees and early career investigators across ACE.
    • Monthly seminar series
      • Assist in creating schedule, generating topics, coordinating speakers
      • Coordinate meetings, interact with the trainees
      • Keep track of progress (# of attendees, topics covered, etc.)
  • Creating opportunities for trainees across ACE
  • Coordinating these opportunities
  • Ability to work independently with little supervision once trained.
  • Perform other duties as related to the research project as requested by the Principal Investigator, Program Director, study-specific coordinators, and/or supervisors. 
  • Must be able to juggle and prioritize tasks and keep open communication with the Principal Investigators and supervisors to ensure timely completion of all duties
  • Performs in accordance with system-wide competencies/behaviors
  • Available to work evenings and/or weekends occasionally.
  • Monitor and attend conferences on autism and Asperger syndrome throughout region for recruitment opportunities.
  • Prepare quarterly report on the status of the marketing effort for review by the program director.
  • Maintain records of contacts and all relevant actions using a computer based data management system.
  • Recruit HFA subjects, children and adult family members, and multiplex cases to meet the needs of the program; recruit controls.
  • Submit all recruitment materials for approval by the IRB.
  • Develop personal relationships with referral sources, serve as a liaison between them and the research project, and actively facilitate ongoing referrals.
  • Distribute recruitment materials.
  • Take inquiry phone calls and emails from potential participants and sending out information packets.
  • Coordinate and speak at speaking events.
  • Facilitate the recruitment and participation of individuals with autism and controls.
  • Develop & implement a written marketing plan for the program.
  • Available to work evenings and/or weekends as needed.
  • Develop a statewide liaison program to increase recruitment.
  • Ability to work independently with little supervision once trained.
  • Retrieve recruitment calls/emails to forward to appropriate personnel and/or to distribute recruitment materials.
  • Develop written material used in marketing including flyers, a brochure, and updating web page.
  • Conduct screening interviews via telephone for potential participants.
  • Coordinate recruitment efforts with Principal Investigator and/or Program Director to ensure that the needs of the collaborative investigators are met.

Qualifications

  • B.S. degree in Marketing or related field required. Master's degree preferred.
  • 2 years experience in marketing required.
  • Experience with recruitment highly preferred.
  • Prior marketing work experience in a healthcare or research setting preferred.
  • Prior experience with autism preferred.
  • Experience with MS WORD, Excel and network email applications is required.
  • Experience with one of the following: Microsoft Publisher, Quark Xpress, Adobe Page Maker, Adobe Creative Suite preferred.
  • Experience with community outreach and marketing required
  • Experience with autism or other developmental disabilities is preferred.
  • Familiarity with website design and social media required.
  • Prior supervisory and/or project management experience preferred.
  • Must have excellent organizational, communication and interpersonal skills.
  • Must be able to work independently once trained in a fast-paced environment.
  • Must be available to work evenings and/or weekends as needed.
  • Must be willing and available to attend community events.

  • Act 31 Child Abuse Reporting with renewal
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
