UPMC complies with all governmental requirements related to local, state, and federal COVID-19 vaccination for employment. Sr. Patient Services Coordinator - South Hills Surgery Ctr.

The Sr Coordinator is responsible for performing numerous Surgery Center duties. In addition to performing all aspects of the Patient Services Coordinator, this position will act as frontline leadership, a resource and mentor for the other Patient Service Coordinators in the department. This level position will communicate with the surgery center leadership and physicians as needed related to the surgical schedule and work to resolve any issues that arise.


  • Assist in the recruiting and hiring patient services coordinators.
  • Provide leadership and mentorship for all patient services coordinators.
  • Complete performance appraisals for patient services coordinators.
  • Act as a preceptor for new hires.
  • Assists in the development of orientation for new hires.
  • Assist management staff with supervisory activities.
  • Participate with creation and implementation of departmental goals, processes, and procedures
  • Assume leadership responsibility in handling conflict resolution situations among patient services coordinators
  • Assume the supervisor’s responsibilities in the supervisor’s absence for finalizing the surgical schedule.
  • Assist in running reports for the leadership team Support and contribute to UPMC Service Excellence mission and abides by all UPMC departmental policies, procedures, and goals.
  • Create, maintain, and retrieve patient records that are housed at the Surgery Center.
  • Ensure the security, safe-keeping and timely return of all records, which are retrieved and provided to requestors for review.
  • Account for all records that leave the file area.
  • Perform duties related to the release of medical record information.
  • Ensure that the release of information is handled following the laws of confidentiality.
  • Responsible for ICD-9 coding for correct diagnosis entry and CPT coding for all procedures for maximum reimbursement.
  • Counsel patients on financial assistance and available services.
  • Contact patients or responsible parties regarding co-pays, deductibles, and any out-of-pocket expenses they may incur and advise them on a method of payment.
  • Collect cash payments, copays, and deductibles and document all information in the Cashiering system, posts memos, and gives receipts to patients.
  • Keep a record of all receipts and payments.
  • Schedule procedures by entering data into Surginet, assigning appropriate OR room, time, and minutes.
  • Distribute copies of reservations to appropriate individuals and departments.
  • Print and distribute a daily OR schedule after all OR times have been verified with the physician's office.
  • Maintain and update credentialing files and lists on all staff physicians at the Surgery Center.
  • Mail and forwards all credentialing information to physician offices and Medical Staff Services.
  • Maintain patient census log and prepares monthly financial and statistical reports and forwards to the Director.
  • Greet all individuals who enter the Surgery Center.
  • This includes patients, visitors, sales representatives, and physicians.
  • Type and update policies, procedures, memos, forms, and any other correspondence as requested by managers or staff.
  • Maintain both self and work area in a manner consistent with a professional environment.
  • Enter all Surgery Center charges into Surginet.
  • Check daily reports for accuracy and follow up on discrepancies.
  • Maintain a filing system for daily reports.
  • Register patients appropriately upon admission to the Center.
  • Assist individuals as needed.
  • Answer and appropriately triage all phone calls to the Surgery Center.
  • Act as a reference for patient questions.
  • Follow up to ensure patient inquiries have been satisfied.
  • Assemble patient charts prior to the day of surgery.
  • Mail instruction booklet to all patients as each OR reservation is received.


  • High school diploma or equivalent is required.
  • 5 years of experience in a related medical field required, preferably in a fiscal/admissions/patient relation function.
  • 2 years of experience in surgical scheduling required.
  • Medical terminology, experience with ICD - 9 and CPT codes, and knowledge of third-party healthcare coverage and medical billing practices required.
  • Experience with mainframe and personal computer-based applications.
  • Proven ability to work well in a team environment and consistently maintain a positive and professional attitude.
  • Excellent organizational and written and oral communications skills required.
