UPMC and Community Care Behavioral Health (CCBH) have an exciting opportunity for a Service Support Specialist. This is a Monday through Friday, daylight role (regular, full-time) based in Downtown Pittsburgh. 

The Service Support Specialists are responsible for organizational and supportive duties for Care Management and Customer Service. Job duties include managing the office for several departments by purchasing and maintaining office supplies inventories while adhering to budget practices. Record, transcribe, distribute minutes of online meetings, and send any correspondent to external members/providers. Enter multiple online eProcurement purchase order and mileage requests. Handle all online incoming and outgoing faxes, file online documents, drafts memos, and other items for Care Management and Customer Service.


  • Under general direction, provides varied organizational support to a department or group of professionals.
  • Coordinates with other departments to ensure compliance with established polices.
  • Collects, compiles, and analyzes moderately complex data and information. Composes straightforward written descriptions of results. Research, draft, and/or abstracts reports (i.e., conduct initial research to gather information for the department regarding topic of interest).
  • Participate in design, development, and implementation programs and initiatives
  • Creates and implements Care Management and Customer Service departments with presentations and meetings utilizing PowerPoint, Excel, and Word documents
  • Handles and maintains all online e-Faxing and filing of documents.
  • Handles incoming calls for various communication
  • Documents in PsychConsult various information/data for accuracy and validity for clinical and non-clinical
  • Develop and maintain documents and materials to support effective roll out of programs and initiatives.
  • Upload clinical documents into FileNet
  • Maintains various accounting and budgetary records (i.e., Purchase orders).
  • Make travel arrangements and enters mileage expense reports
  • Keep departmental printers and copiers operating properly and alerting management when repairs are required.
  • May also perform all responsibilities clerical functions, such as copying, sorting, filing, and typing.
  • Performs receptionist main phone line support


  • High school diploma/GED and equivalent two years experience in an organizational support role.
  • Experience with taking meeting minutes strongly preferred
  • Ability to perform advanced functions in word processing, MS Suite products PowerPoint Excel, and Word
  • Good communication, organizational skills, and time management skills.
  • Reliable and professional with proven track record of good attendance.
  • Working knowledge of business processes and procedures
  • Knowledge of basic accounting
  • Ability to analyze data and use basic reasoning skills
  • Keen attention to detail and comfortable in a fast-paced environment.
