Description

Purpose:
Responsible for the coordination and supervision of daily scheduling operations. Provides support, training, development and guidance of the Scheduling Assistants.

Responsibilities:

  • Efficient use of Scheduling package.
  • Oversees scheduling of all patient visits based on patient needs, productivity expectations and staffing.
  • Oversight of daily schedule changes, ensuring all patients are covered and staff have manageable schedules.
  • Ensure patients are notified of schedule changes.
  • Work with Scheduling Assistants to ensure master schedules are up to date and staff are appropriately assigned.
  • Notify Senior Manager (Administrative Programs) of any and all unscheduled visits.
  • Backs up Scheduling Assistants as necessary.
  • Proficient in all areas of Scheduling Assistant's responsibilities.
  • Ensures all admissions are scheduled within 24 hours of receipt but no later than 48 hours.
  • Monitors referral software package for new admissions and resumptions of care.
  • Ensure Scheduling Assistants reconciles/validates and processes daily activity records for all patient visits for individual staff.
  • Coordinates adequate staffing, problem resolution, continuity of care, effective and efficient use of scheduling processes.
  • Ensures timely planning for Scheduling with casual staff.
  • Analyzes reports and communicates issues to Senior Manager Performs payroll duties (Kronos).
  • Assists with recruiting, hiring, orientation of new employees.
  • Provides assistance with the completion of Scheduling Assistants' annual performance review.
  • Rotate weekends and holidays with flexible hours as needed.
  • Takes ownership/responsibility to develop solutions, find answers and overcome obstacles to achieving desired results.
  • Collaborates with all disciplines to provide services in an efficient manner.
  • Performs duties and job responsibilities in a fashion which coincides with the service management philosophy of the organization.
  • Identifies, develops and participates in process improvement opportunities within home health that will enhance the quality of service we provide.
  • Focuses on customer service and continually strives to perform duties of their job in a manner that will result in optimal patient satisfaction.
  • Answers patient calls timely and forwards appropriately for resolution to promote patient satisfaction and increase our patient's perception of the timeliness of how the department dealt with issues and/or concerns.
  • Proven ability to facilitate change Attends compliance training and adheres to the organization standards of conduct, policies and procedures.
  • Proven ability to multi task and prioritize work.
  • Performs in accordance with system-wide competencies/behaviors.
  • Performs other duties as assigned.

Qualifications

  • Associate Degree required.
  • Bachelor Degree preferred.
  • 2 years of scheduling experience and/or supervisory experience.
  • Competency with PC - Microsoft Office required


Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
