UPMC Hillman Cancer Center, in collaboration with AACI is seeking a Full-Time Events Coordinator. This position will work a Monday-Friday daylight hybrid schedule, with the ability to work from home a few days per week. This position requires occasional travel.
The Event Coordinator will coordinate the workflow of administrative and/or clerical employees and provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division.

Responsibilities:
- Assist in the coordination of all aspects of and logistics for AACI events of various scale and scope on- and off-site. Includes but not limited to booking travel, catering, maintaining a registration log, and helping to review contracts.
- Assist in advising and consulting with project teams to establish scope, requirements, timelines, deadlines, budgets, correspondence, and materials for events; advise and consult with AACI leadership and project staff to manage expenses and work within established budgets.
- Effectively represent the interests of AACI and its guests and VIPS in assisting with menus and catering, refreshment set-ups, lighting and A/V services, photography, videography, guest accommodations, transportation, and concierge services.
- Respond as directed to the needs of AACI staff, as well as colleagues, guests, meeting attendees, vendors, and other service providers.
- Foster a collegial and cooperative approach to events planning and preparation among all AACI departments.
- Make effective use of computer-based scheduling, registration, and invitation systems; keep abreast of new applications and assess for use.
- To the degree possible, assure flawless execution of events; facilitate post-event logistics evaluation and implement changes to processes and procedures as needed.
- Execute professional responsibilities with sound judgment, sensitivity to the needs of others, emotional maturity, integrity, and accountability.
- Under general direction coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple department or division (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments)
- Assists in recruiting, hiring, training, and evaluating the performance of employees
- Plans conferences for department and department head
- Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events)
- Develops reports for executive or department
- Analyzes complex information requests and determines complex trends
- Provides input to presentations and other departments/supervisor work (i.e., supervisor provides general thought and employee will draft more material based on initial ideas)
- Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
Qualifications
- High school diploma or equivalent.
- Bachelor's degree highly preferred.
- Experience coordinating events for academic communities preferred.
- 3 years of experience in an increasingly responsible administrative support role.
- Ability to perform functions in word processing, electronic mail/calendar, spreadsheet, presentation, event management and database software.
- Ability to use applicable MS Suite products - knowledge of business processes and procedures.
- Ability to analyze data.
- Ability to use discretion and independent judgment.
- Exceptional skills in planning, organizing, and coordinating events.
- Excellent communication and writing skills.
- Ability to coordinate multiple events simultaneously, meet deadlines, apply exquisite attention to detail, and develop and maintain collegial and collaborative relationships with peers, colleagues, and external contacts.
- Quick learner and able to assimilate and apply new information rapidly.
- Able to work proactively to troubleshoot, and avert problems that may hinder flawless execution of on- and off-site events
- Able to travel locally, and domestically, is required, as is up-to date driver's license.
- Must be able to work outside of regular business hours when necessary.
