The Senior Perioperative Supply Chain Coordinator supports the needs of assigned Operating Rooms/procedural areas in the hospital by ensuring that inventory is obtained in a timely and accurate manner. Maintains a high standard of accuracy when ordering supplies and interacts frequently with the hospital clinical staff to ensure service levels are being met. Efficiently manages tasks while working in a sterile, fast-paced, and high-demand environment.
This position works Monday through Friday from 6:00am to 2:30pm. Travel to UPMC Muncy and Lock Haven is on an as-needed basis.
Responsibilities:
- Independently travel to other hospital locations for shift coverage.
- Assists in training of newer perioperative coordinators.
- Assists in proper labeling of inventory managed through inventory management system.
- Assists in onboarding and training of clinical team end users.
- Independently perform assigned supply chain function which includes data and system management, inventory management and control, contract management and analysis and value analysis across hospital system.
- Gather data and information from disparate and multiple sources, interpret the data and make recommendations and/or take appropriate action based on findings.
- Orders high dollar surgical supplies and equipment.
- Develops and evaluates par levels and adjusts as needed to support service levels with minimal overstock.
- Re-distributes slow moving or items no longer needed to other UPMC facilities to reduce waste and overall spend.
- Receives high dollar products into inventory management system.
- Capable of basic Excel usage; Access preferred.
- Monitors consignment levels and works closely with vendor representatives to ensure product availability for surgical case load while minimizing UPMC owned product.
- Monitors and controls walk-in inventory from vendor reps.
- Monitors and adjusts inventory levels in order to mitigate excess inventory and to ensure the end-users have what is needed to perform surgical cases.
- Examines incoming shipments of supplies to verify the accuracy and quality of the vendor shipment with PO quantities and product types ordered.
- Accountable for monitoring and controlling inbound freight and courier costs through working with the UPMC Freight and on-site Supply Chain Manager.
- Identifies items to be ordered as warehouse stock or non-stock and appropriately establishes the items within the par location, allocates the proper storage requirements and accurately labels the product for identification and traceability.
- Responds quickly to emergent physician and clinical requests, including any product concerns or material issues.
- Identifies opportunities for service improvements, cost reductions and product standardization in support of these initiatives.
- Closely monitors expiration dates of all products and documents findings on a monthly basis to ensure compliance and redistribute slow moving products to other facilities to reduce waste.
- Stores items within designated storage locations accurately and maintains the supply areas neat and clean with the proper labels for identification.
- Performs cycle counts; performs root cause analysis to resolve inventory variances.
- Performs in accordance with system-wide competencies/behaviors.
- Performs other duties as assigned.
Qualifications
- High school diploma and 4 years of related experience Or A bachelor's degree and 2 years of related experience.
- Strong organizational skills
- Strong communication skills
- Experience with inventory management systems
- Experience managing medical product inventories
- Experience managing surgical inventory
- Previous customer interfacing experience preferred
- Familiarity with Microsoft Office and Excel
