UPMC Presbyterian is hiring a full-time Surgical Services Secretary to join their growing Surgical Pre-Op team!
In this role, you will work with 3 other team members to schedule the OR cases that occur at our PUH and MUH locations, about 100 cases each day. This position is Monday to Friday, with rotating 8-hour shifts. You can expect a start time of either 8 am or 9 am. You may be asked to help with Sunday coverage when our regular staff is off. Holiday coverage is to be discussed during the interview!
Responsibilities
- Achieve service excellence by providing quality customer service. Respect confidentiality. Interact with all departments in a respectful, courteous and caring manner. Utilize good listening skills and provide accurate information or answers to questions.
- Assist with interviewing and training all newly hired surgical services secretaries as well as performance evaluations.
- Act as a resource for other scheduling secretaries.
- Schedule surgical procedures accurately, both inpatient and outpatient. Adhere to department of surgery scheduling guidelines verifying surgeon privileges and suspension issue. Enter data into and verifies reservations to confirm data entry. Communicate with Service Center on a daily basis for accurate information.
- Demonstrate good problem solving skills and follows department policies and procedures appropriately. Thoroughly and accurately verify daily schedule with surgeon or office manager.
- Create monthly staffing schedule for department secretaries.
- Assume supervisor's responsibilities in the supervisor's absence for finalizing surgical schedule.
- Maintain accurate and complete documentation. Provide information to supervisor regarding problem situations and their resolution. Procedural documentation is collected and accessible at all times for reference. Compile statistical information as requested.
- Demonstrate thorough knowledge of the programs and services of the UPMC Health System and the ability to access those services.
- Cooperate with other member of the healthcare team. Inform supervisor regarding potential problems. Assume leadership responsibility and handle conflict resolution situations among surgical services secretaries. Assist coworkers and performs additional duties as required.
Qualifications
- High school diploma or equivalent.
- 1-2 years of secretarial experience preferably in a health care setting or completion of an accredited secretarial school and 6-12 months of experience required.
- Accurate typist and ability to use transcription machine.
- Word processing and PC experience required.
- Good command of the English language with specific knowledge of punctuation, spelling, etc. and ability to compose letters and memoranda of a routine nature required.
- Manuscript typing desired.
- Knowledge of medical terminology preferred.
- Problem-solving ability - knowledge of the department's function and personnel's responsibilities.
- Requires judgment to recognize problems that should be referred to staff physicians or supervisors.
