Purpose:
Shadyside Non-invasive Cardiology is looking for a new Administrative Assistant who will be the welcoming focus of the department. We are looking for someone who is dynamic and well organized, able to multitask in a fast environment. They are responsible for welcoming patients upon arrival and promoting an overall culture of service excellence. They display strong customer service skills that ensure that patients and family members have the desired UPMC Experience at this UPMC outpatient department.
Responsibilities:
- Provide a warm greeting for all patients on arrival to the department.
- Schedule patients for all Non-invasive Cardiology appointments including ECHO, Nuclear Stress testing, Event and Holter Monitors.
- Help patients navigate the healthcare system by providing clear and understandable instructions.
- Process all appropriate paperwork including orders and authorizations.
- Utilize multiple scheduling and medical record software including but not limited to EPIC, Cerner, CVIS, Medipac, teletracking and Aria.
- Answering and responding appropriately to phone calls through scheduling appointments, responding to questions and distribute/triage phone calls to other areas as needed.
- Assist with administrative duties in the office including but not limited to scanning of medical records and faxing.
- Understands the principles of service recovery and is both empowered and responsible for taking appropriate action to recover from service that does not meet the expectation of the UPMC Experience.
- Under direct supervision, provides general administrative support to a department or group of professionals.
- Orders office supplies and maintains office equipment.
- Helps supervisor and department prepare presentations (i.e., edits, prints, basic formatting functions).
- Sorts, distributes, prioritizes, and composes routine correspondence following established procedures not requiring management review. (i.e., reads correspondence/ highlights important items and sends to supervisor, sends emails sent on behalf of dept head, writes and sends meeting reminders, forwards emails to appropriate distribution list on behalf of department head).
- Performs routine clerical functions, such as copying, sorting, filing, and typing.
- Sets up and maintains varied office files, logs, and records office activities.
- Assists in researching, drafting, and/or abstracting routine reports. Compiles and analyzes basic information.
- Answers, screens, and routes incoming calls and messages.
- Responds to routine questions.
- Maintains supervisor's calendar (i.e., schedules meetings and recurring events, schedules large conference rooms, orders food, ensures applicable equipment is available and ready for the meetings, may take meeting minutes).
- Greets, screens, and directs visitors to an appropriate staff member.
Qualifications
- High School diploma or equivalent.
- Up to 1-year of administrative experience preferred.
- Working knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software
- Ability to use applicable MS Suite products
- Knowledge of business processes and procedures
- Ability to use basic reasoning skills
