This role offers a unique opportunity to support the Chief Medical Officer of an exciting new division who is also the Chair of the University of Pittsburgh Physicians' Women's Health Service Line.
The leader is seeking a self-starter who has experience with complex calendar maintenance and manipulation, and someone who has the experience and the confidence to make decisions with little-to-no direction. In addition to executive-level calendar maintenance, the position responsibilities also may include but are not limited to the following: creating high-level PowerPoint presentations, travel arrangements, expense reimbursements, ordering supplies, obtaining e-signatures and working with electronic documents, tracking and documenting the executive's continuing education, as well as working with spreadsheets and pivot table data.
This is an in-office, Monday through Friday, daylight, opportunity. The selected individual for this position will likely work from two Pittsburgh offices throughout the week; downtown and in Oakland- so it is required to have reliable means of transportation.

Responsibilities:
- Heavy calendar management while requires great attention to detail
- Proactive/independently manage schedule conflicts
- Schedule Recurring Meetings & Prepare meeting materials (agenda, PPT…)
- Schedule Recurring Meetings & Prepare meeting materials Chairs Council monthly meetings /catering / AV Support
- Schedule Recurring Meetings & Prepare meeting materials-Department Faculty meetings
- Schedule Recurring Meetings & Prepare meeting materials -Division Director/Vice Chair meetings
- Schedule Recurring Meetings & Prepare meeting materials-Vice Chair only meetings
- Schedule Recurring Meetings & Prepare meeting materials - Weekly Team meetings
- Individual weekly, monthly, bi-monthly meetings w/ leadership, faculty members
- Screen leader’s email and highlighting anything time-sensitive; delete junk email
- Write correspondence/email on behalf of Chair for faculty reappointments (additional privileges, etc.)
- Write correspondence/email on behalf of Chair letters of support or recommendation
- Write correspondence/email on behalf of Chair communication to department leaders, faculty, and staff on behalf of leader
- Follow-up during Faculty evaluation period to ensure deadline is met
- Independently manage distribution and completion of Teaching & Service forms, ensuring deadline is met.
- Work with key staff members to gather all pertinent information required as part of the Chair’s review (based on guidelines provided).
- Transcribe dictation from leader for academic promotion letters.
- Make travel arrangements for conferences (~3-4 per year)
- Process expenses i.e., travel; mileage and business purchases (including membership renewals for various societies)
- Ensure that notable publications are highlighted on Digital Display board by creating slides or delegating other staff members to do so – monthly.
- Coordinate special events (i.e., retirement/new hire receptions; holiday parties; recognition events)
Qualifications
- High school diploma or equivalent
- Eight (8) years experience in an increasingly responsible administrative support role
- Five (5+) years experience with support at the executive level-
- Demonstrates proficiency in core MS Office applications, including Word, Excel, PowerPoint, and Outlook-
- Excellent calendar management skills, including the coordination of complex executive meetings-
- Experience assisting management with the creation of PowerPoint presentations-
- Experience scheduling travel arrangements for management
