UPMC Mercy is hiring a Full-Time Business Assistant to support our Nursing leaders!
This position will support multiple units across the hospital with payroll, timekeeping and scheduling processes. This position works Monday-Friday from 9am-5pm with flexibility for some weekend coverage.
Purpose:
Support Directors in Patient Care Services to ensure effective coordination of processes and information.
Responsibilities:
- Assist in assigning daily staffing resources for patient care areas by making decisions based upon budgetary guidelines and communicating with unit directors as needed.
- Perform responsible administrative duties.
- Create assessment and tracking tools for the following but not limited to bonus, overtime, performance reviews, certifications, staff license renewal, office supplies, reference materials, etc.
- Maintain accurate updates in the electronic scheduling program.
- Maintain accurate and current requirements for agency personnel including but not limited to current licensure, competencies, scheduling orientation, and payment processes.
- Oversee and utilize patient information systems to plan, organize, and direct patient census to facilitate maximum productivity and customer (patient) length of stay.
- Copy, track and file all forms, purchase requisitions, expense reimbursement forms, certifications, etc.
- Support projects related to the operations of the patient care areas as directed and communicate effectively during all stages of project and noting any trends.
- Assist with variance tracking, time and attendance reports and other reports and input.
- Participate in phases of budget preparation including operating and capital budgets as assigned.
- Support the Director's efforts to ensure that the environment of care meets all regulatory standards and projects a desired public image.
- Serve as a role model of excellent customer service by responding with courtesy and respect to the needs of all those he/she interacts with daily.
- Maintain customer confidence and protects the organization by keeping all information confidential.
- Understand UPMC customer service standards and inform the director of any needs identified through observations and/or rounding.
- Understand JCAHO Environment of Care Standards and Department of Health regulations.
- Maintain accurate communication including but not limited to answering telephones promptly, screening telephone calls, and distributing mail.
- Report observed non-compliance to UPMC policies to Director and inform appropriate department.
- Perform responsible duties necessary for payroll functions and answer routine questions concerning employee paychecks and salary discrepancies in the Nursing Division.
- Assist in vacation process for nursing and patient care services personnel.
- Administer meal/parking tickets to employees according to hospital policy and maintains necessary record keeping.
- Maintain records and complies regular reports in accordance with established procedures.
- Identify issues which need corrective action, communicate and document issue. Track and follow-up on staff license renewals, certifications and education. Coordinate the processing of performance evaluations. Ensure compliance with enhanced pay programs. Participate as a member for a related Process Improvement Team as designated.
Qualifications
- B.A. degree in Business or health related field or 3 years of business experience.
- Strong computer skills to include Word, Excel, PowerPoint and Adobe Acrobat.
- Excellent data entry, written and oral communication skills.
- Excellent organizational ability.
- Excellent financial analysis skills.
- High school diploma or equivalent.
- Courses in typing, English, and knowledge of basic mathematics preferred..
- College or commercial course desirable.
- Basic knowledge of medical terminology and computer applications including but not limited to Microsoft Work and Excel.
- Ability to communicate effectively using verbal, written, and computer skills.
- Possess organization behaviors including but not limited to interpersonal skills/communication, initiative, judgment, flexibility, and organizational commitment.
Licensure, Certifications, and Clearances:
- Act 34 with renewal
