Purpose:
Responsible for making and scheduling patient appointments in an efficient and timely manner. Assists patients in person and on the phone, providing information and communicating with various clinicians. Obtains and enters complete demographic and insurance information.
Responsibilities:
- Answer questions regarding patient appointments and testing. Greet and register patients in a polite, prompt, helpful manner. Provide any necessary instructions/directions. Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.
- Completes necessary paperwork such as encounter forms, personal representative forms, and referrals. Use computer system to generate information necessary for billing.
- Maintain a clean, orderly waiting area including beverage area and reading materials.
- Verify necessary information and records in the medical record and computerized scheduling system. Prepare patient charts for upcoming appointments.
- Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks. Schedule, coordinate and reschedule patient appointments. Relay necessary messages to staff and providers.
- Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed. Answer telephone, screens calls, takes messages and provides information in a courteous manner.
- Schedule diagnostic testing and obtain insurance authorizations, verifications, and referrals in a timely fashion (change to verify insurance authorizations are on file for immunizations).
- Assist with outpatient billing process.
- Assist physicians with transcription and dictation issues/concerns, and review process for accuracy (Please change to “reviewing letters and progress notes to referring physicians for accuracy)
- Process medical records release requests.
- Identify stock levels of office supplies and assist with ordering/inventory management.
- Other duties as assigned.
Qualifications
- High school diploma or GED.
- Three years of work experience, preferably in a medical office setting.
- Knowledge of medical terminology preferred.
- Word processing and computer experience required.
Licensure, Certifications, and Clearances:
- Act 31 Child Abuse Reporting with renewal
- Act 33 with renewal
- Act 34 with renewal
- Act 73 FBI Clearance with renewal
