The UPMC Department of Neurosurgery is seeking a Full-Time Admin Assistant - Senior to work at their UPMC Presbyterian location.
UPMC has one of the largest Neurosurgery Departments in the United States.
We interact with patients from around the globe and provide surgical care for those suffering with neurological conditions.
This position works Monday - Friday, 8:00 AM - 4:30 PM, No Evenings/Weekends/Holidays!
Must have at least 5 years of experience in an increasingly responsible administrative support role.
Purpose:
Under general direction, provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division.
Responsibilities:
- Maintains multiple calendars (i.e. proactively schedule meetings on surgeon's behalf, makes recommendation for large meeting venues and catering, takes leadership role in ensuring meetings flow smoothly).
- Composes routine, general, and unique/independent correspondence (i.e. sends more than standard emails, begins to modify content of email on behalf or neurosurgeon, reads and answers correspondence).
- Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and employee will draft more material based on initial ideas).
- Coordinate and maintain multiple physician and physician assistant on-call schedules, including posting into MedTrak Call schedule.
- Manage all faculty academic activities including but not limited to maintenance of CV, management of online reference material, preparation of correcspondence, assistance with IRB and grant submission.
- Plans conferences for department and department head.
- Under general direction, provide varied administrative support to a department or group of professionals.
- May also perform all responsibilities of an Administrative Assistant - Intermediate:
- Maintains supervisor's calendar (i.e., proactively schedules meetings on supervisor's behalf, makes recommendations for large meeting venues and catering, takes leadership role to ensure meetings flow smoothly).- Maintains various accounting and budgetary records (i.e., completes expense reports).
- Develops reports for executives or departments.
- Analyzes complex information requests and determines complex trends.
- Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
- Maintains various accounting and budgetary records (i.e., completes expense reports).
- Submits expenses for surgeons through UPMC PeopleSoft and University of Pittsburgh procedures.
- Assist with coverage at the Front Desk Reception for the Department of Neurological Surgery
- Manage surgeon's academic activities including but not limited to maintenance of CV, management of online reference material, preparation of correspondence, assistance with IRB and grant submissions.
- Arranges travel (domestic and international) for surgeons.
- Including but not limited to lodging, air travel, car transportation, conference registration, and additional meetings.
- Maintain up-to-date documentation and assure completion of all applications and disclosures for surgeons.
Qualifications
- High school diploma or equivalent.
- 5 years experience in an increasingly responsible administrative support role.
- Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.
- Ability to use applicable MS Suite products.
- Advanced knowledge of business processes and procedures.
- Working knowledge of accounting and financial principles and functions.
- Ability to analyze data.
- Ability to use discretion and independent judgment.
