Are you looking to play an integral role in policy integration across UPMC? Are you an excellent communicator with a healthcare background? The Patient Service Coordination team is looking for a Policy Management Admin to join their team!

Purpose:
The Policy Management Admin will be responsible for direct oversight and management of UPMC Central Pa system policies designed to meet specific state, federal and review agency standards. Role is responsible for budgeting and day to day operations of UPMC Central Pa System's policies. Holds policy coordinators across the organization accountable to policy integration efforts. Develops strategic plans to facilitate continued policy integration across the UPMC Pinnacle sites. Serves as the policy liaison between UPMC Central Pa and UPMC Corporate. Manages all aspects of electronic policy software used throughout the UPMC Central Pa System. Develops and implements processes to assure efficiency and accuracy of system policy review. Under the direction of the Vice President of Service Coordination, forms critical analysis, makes recommendations, and assists in implementing policies to support safe, quality delivery of patient care. Participates in performance improvement initiatives and supports the mission, vision and values of UPMC Pinnacle.

Responsibilities:

  • Primary Duties:
    • Directly responsible for the management and oversight of policy manuals across the UPMC Central Pa System. This includes ensuring policies are reviewed according to regulatory guidelines, are consistent in format and organized according to UPMC standards.
    • Serves as UPMC Central Pa's System policy leader and meets regularly with policy coordinators across the organization. 
    • Assigns responsibilities to policy coordinators across the UPMC Central Pa system
    • Holds site policy coordinators accountable to policy management strategies including use of the electronic policy software system.
    • Provides guidance and leadership to address any barriers that may impact meeting established goals.
    • Communicates regularly with UPMC's Corporate Policy Coordinator to develop consistent policy integration strategies.
    • Consistently participates in UPMC Corporate Policy and Procedure meetings.
    • Meets regularly with the System Director of Regulatory to receive regulatory updates that may impact current policy content.
    • Prioritizes, establishes target dates for issues and monitors action plans for areas of responsibilities.
    • Proactively recognizes operational changes that may impact policy content.
    • Facilitates prompt communication with system leaders to discuss required policy changes.
    • Coordinates the System Policy Committee meetings including pre-meeting distribution of policies for review, preparation of meeting agenda, completion of meeting minutes and follow-up of agenda items post meeting.
    • Works with Policy Management vendor to ensure database functions at its highest capacity.
    • Responds to and addresses policy management software issues and/or questions from end users.
    • Provides education on policy software to users across the system.
    • Provides support to end users as needed to ensure policy management software is successfully utilized.
    • Ensures policy changes are communicated to UPMC Pinnacle leadership team in a timely and efficient manner.
    • Actively communicates to the System Vice President of Patient Service Coordination any issues or concerns with policy maintenance.
    • Collaborates with administration, directors and other department leaders to provide effective oversight and monitoring of policies.
    • Provides work direction and guidance to staff to assure timely completion of assigned tasks.
    • Collaborates with cross-functional departments to establish appropriate workflow processes and interdisplinary review of policies.
    • Supports regulatory, accreditation and compliance departments with preparation of documents for surveys and audits.
    • Ensures compliance with regulatory bodies by monitoring the policy management system audit trials and pending overdue tasks.
    • Ensures staff that have policy and procedure development, review, editing and approval responsibilities are adequately trained in organizational principals, requirements and usage of the policy management software.
    • Attends meetings related to quality, patient safety, standards and compliance to ensure policies and procedures are conformed to address current and changing organizational practice.
    • Tracks status of policies in process, notifying appropriate administrative bodies if compliance standards are not being met.
    • Ability to review, critique, interpret, and integrate evidence-based literature into applicable policies.
    • Ensures regular back-ups are performed of policy management system.
    • Uses structured decision making in determining members of approval templates, working with policy manual owners to ensure appropriate approval process.
    • Develops a working knowledge of regulatory standards to include (but not limited to) The Joint Commission, OIG, NIAHO, CMS and state as well as federal requirements as dictated by the organization.
    • Actively participates in educating and informing members of the medical staff, administration and system leadership with regard to policy issues/updates
  • Secondary Duties:
    • Performs other duties as assigned.
    • Completes department specific educational and system requirements.
    • Human Relations / Contact and Communications:
      • Demonstrates professional responsibility and accountability in the role.
      • Participates in department/UPMC Central Pa activities which promote understanding of system policy management.
      • Works effectively in team environments.
      • Maintains confidentiality of clinical and personal information when talking with others, especially in public areas, in accordance with UPMC Central Pa Hospital policies.
      • Promotes harmonious atmosphere with a positive attitude.
      • Demonstrates excellent communication skills with the Medical Staff and healthcare team.
      • Attends hospital required in-service programs.

 

Qualifications

Job Requirements:

  • Healthcare professional with a minimum of 3-5 years current experience in the field.
  • Bachelor degree
  • Demonstrated problem-solving ability with excellent interpersonal skills.
  • Excellent computer skills including management of software programs

Preferred Qualifications:

  • Past experience in policy management


Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days

  • Act 34 with renewal
