Description
University of Pittsburgh Physicians is hiring a full time Administrative Manager to oversee a team of 8 Administrative Assistants within their Heart and Vascular Institute at UPMC Presbyterian Hospital! This position will be responsible for supervising, coaching, hiring and training employees. The Manager will be responsible for employee time management through KRONOS and overseeing and coordinating staff/department functions and events. You will also provide administrative assistant support to physicians and/or leadership and work on assignments/projects as requested.
Hours for this position will be Monday through Friday, 8:00am to 4:30pm with no evenings, weekends, or holidays. This position will be a hybrid work opportunity that will provide some work from home opportunities.
Responsibilities:
- Oversees the work of 8 administrative assistants.
- Represents the Executive Administrator with regard to responding to queries from other UPMC entities requiring HR-level information on the department.
- Supervise other support positions related to the Executive Administrator.
- In the absence of the Executive Administrator, has authority to expedite all recruitment and retention issues in coordination with the Manager of Finance and Budgeting.
- Communication with UPP, Legal and all centralized functions.
- Assist in coordinating CRNA and staff meetings, recruitment events, educational activities, compliance efforts and other meetings that require scheduling and processing CME paperwork.
- Responsible for the entire coordination of the staff hiring, evaluation, termination, transition cycle from within the Department.
- Coordinate meetings through scheduling, communicating with participants and taking minutes.
- Responsible for KRONOS review and approval for staff.
- Assist in coordinating CRNA Report Cards, including collecting data, running reports and formatting the information.
- Responsible for review of vacancy and OT reports and development of action plans with other managers to improve recruitment and reduce cost.
Qualifications
High School Diploma or equivalent and five years of progressively responsible administrative experience required.
Bachelor's degree in business, health care administration, public administration or related field experience preferred.
At least one year of supervisory experience required.
Must be proficient in Microsoft Word, Excel and Power Point.
Must have excellent organizational skills and the ability to perform under stress.
Experience working in a high profile department preferred.
