The Senior Human Resources Assistant is a regular, full-time position that works between 8:00am-4:30pm onsite at UPMC Children's Hospital.
In this role, the Senior Human Resources Assistant will independently provide administrative support services to all team members in the HR department. They play an integral role in the delivery of employee relations support to customers by autonomously executing tasks such as employee file maintenance, data entry of confidential personnel information, running compliance reports, preparation for annual HR initiatives, and assisting with other projects as needed. Additionally, they'll help support new hire orientation.

Responsibilities:
- Assist leadership with processing expenses, screening calls, calendar management, scheduling meetings, booking conference rooms, taking meeting minutes, and processing expenses.
- Provide support with ordering of office supplies, reviewing and organizing incoming mail, assist with filing/printing/copying/faxing items in a timely manner.
- Manage HR email service account and delegate questions to appropriate HR representative as needed. Act as department receptionist by answering HR office telephone line and greeting visitors.
- Facilitate exit interview process: schedule appointments, prepare and send exit interview emails, and compile exit interview results and share as appropriate. Keep updated spreadsheet of all exit interview activity.
- Assist with timely data entry of licenses, certifications, clearances, and corrective action. Run complex queries for tracking and compliance purposes. Reports include but are not limited to licensure reports, COGNOS turnover reports, and annual mandatories reports.
- Complete assigned projects as needed. Participate and assist with coordinating Business Unit events and HR programs or initiatives.
Qualifications
- High school diploma or equivalent required and three years of progressively responsible administrative experience required (preferably in a human resources environment).
- OR Bachelor's degree in Human Resources, Business, or related field required
- OR successful completion of the UPMC Summer Associate Program/Pittsburgh Fellows Program required.
- Ability to use Microsoft Office products including Outlook, Word, and Excel.
- Proficiency in administrative skills, organizing and setting priorities, maintaining confidentiality, and customer service skills.
Licensure, Certifications, and Clearances:
- Act 31 Child Abuse Reporting with renewal
- Act 33 with renewal
- Act 34 with renewal
- Act 73 FBI Clearance with renewal
