Provide administrative assistance, secretarial support and data management for the Human Resources Specialists. Serve as liaison for Human Resources Specialists to all UPMC Departments and affiliates. Facilitate requests for personnel information by directly accessing confidential employee data.

  • Assist management staff.
  • Create employee folders for all newly hired staff.
  • Enter applicant demographic activity information. Determine eligibility of internal applicants and notify those ineligible for transfer.
  • Enter training courses, enrollments, print rosters, and assemble materials.
  • Expedite information to the appropriate parties and the Payroll Department within the specified time frame safeguarding against a delay in receiving first paycheck.
  • Facilitate the timely delivery of confidential material.
  • Follow-up of all new hire documentation to fulfill the specifications of the federal, state and local governments along with meeting the requirements and standards of the UPMC Health System. Vital information includes I-9, licensure, Act 33/34/73 clearances, social security cards, and visa/residency verifications.
  • Prepare new hire materials including the offer letter.
  • Process background, criminal and fraud checks of identified applicants prior to employment offer. Follow-up and evaluate outcome in a timely fashion.
  • Provide secondary support and coverage to other HR assistants.
  • Review and organize incoming mail and determine which items need immediate attention. Assist with mailings and development of systems for storage of pertinent material.
  • Schedule appointments, screen phone calls, make follow-up calls, prepare professional correspondence, and perform word processing and spreadsheet assignments as necessary. Maintain calendars and schedules meetings.
  • Schedule post-offer physical and drug screen for final applicants. Follow-up and verify results of post-offer physical prior to start date.




  • High school diploma or equivalent with one year of progressively responsible administrative experience (Human Resources environment preferred) OR Bachelors degree in Human Resources, Business or related field
  • Proficiency in Microsoft Word, Outlook, and Excel preferred

    Licensure, Certifications, and Clearances:
  • Act 34 Criminal Clearance or Act 34 Criminal Clearance with Renewal
