The University of Pittsburgh Physicians is seeking a full-time Division Administrator to support our Rheumatology and Nephrology clinical and research operations and our academic teaching activities. This position will be based in the Oakland neighborhood in the city of Pittsburgh. A highly visible role, this position will report to the Executive Administrator I.

The Divisions of Rheumatology and Nephrology consists of 12 outpatient clinics located throughout the Pittsburgh metropolitan area, as well as a highly successful telemedicine program, providing access to UPMC’s world-class care. Our Nephrology operations include seven inpatient locations and our physicians provide patient care at 10 dialysis centers.

As Division Administrator, you will have responsibility for high-level reporting, data analysis, contract management, and will participate in the budgetary process and financial oversight. You will manage clinical and administrative staff and will work closely to lead, mentor, and develop your team.

You will manage and administer business activities in a highly complex, clinical, teaching and research-oriented environment.  Additionally, you will work collaboratively with the Division Chiefs, Executive Administrator and other physicians and clinical leaders to manage, develop, and implement strategic plans focused on the development and expansion of our  clinical programs. As a key leader, you will be accountable for the operation's performance as it relates to service, quality, and finances. You will ensure compliance with all state, federal and regulatory agencies and will serve as the coordinator in utilization and report generation.

  • Work with physicians in developing new strategic business opportunities and new outreach sites. Identify market strategies and growth opportunities.
  • Ensure operations are in compliance with UPMC policies and procedures and with the requirements of any applicable regulatory agencies or accrediting bodies (i.e. JCAHO, PA Department of Health, Medicaid).
  • Assist in establishing and implementing policy including, but not limited to, professional licensure, registration and/or certification; risk management; clinical operations and clinical compliance; and staff and patient safety. Identify educational needs of all outpatient office staff who provide treatment and care to inpatients as well as outpatients of the physicians. 
  • Conduct quarterly physician productivity meetings.
  • Create a culture of service excellence focused on defining, understanding and consistently satisfying the requirements of both internal and external customers.
  • Create and implement business and program development plans that support and advance the operations and hospital strategic initiatives. Assist faculty and coach staff to establish and achieve programmatic goals.
  • Develop operating and capital budgets may include, but not limited to, Physician Services Divisions, University of Pittsburgh School of Medicine and hospital. Ensure that operations meet budget goals. Assist with the supervision and oversight of budgets. Assist the Executive Administrator by maintaining financial records/reports used to monitor and analyze performance against goals.
  • Implement, monitor and evaluate all quality initiatives to ensure positive patient outcomes. Oversee patient access and patient satisfaction initiatives. Facilitate processes to improve patient satisfaction. Ensure continuity of care for patients evaluated and treated by physicians, including timely communication with patients and referring physicians.
  • Manage the human resources functions including recruitment, performance evaluations, and corrective action regarding staff. 
  • Oversee all contracts and lease agreements
  • Responsible for the charge lag process ensuring the business unit (BU) professional fees are entered into the EPIC systems within established timeframes. Serve as a resource in developing strategies to maximize reimbursement and disseminate regulatory information pertaining to changes in reimbursement and/or coding while ensuring regulatory compliance.
  • Serve on all committees as assigned. Provide leadership, oversight and direction for assigned special project activities.
  • Supervise coding and charge entry staff (where applicable). Work with staff to improve revenue process and solve problems and identify resources related to insurance coverage and reimbursement issues.
  • Work closely with Clinical, Administration and Information Services staff in identifying opportunities for improving cost and quality of care through in-depth process and cost of care analysis, forming recommendations to drive significant operational changes.


  • Bachelors Degree in Health Care Administration, Business Administration, Finance, Accounting or related field

  • Advanced knowledge of applicable federal, state, and local laws as they pertain to physician management, preferred.
  • Knowledge of revenue cycle, physician billing, and contracts, preferred.
