The Manager of Academic & Administrative Operations will oversee coordination of paperwork and documents related to the recruitment, enrollment, and credentialing of faculty members and Allied Health Professionals for the Department of Critical Care Medicine. Must be very organized, and supervise the Department Enrollment Specialist to ensure that all clinical faculty have obtained and maintained appropriate medical privileges throughout UPMCHS area hospitals.


The incumbent will prepare academic appointments and promotion paperwork. Knowledge of employment laws to comply with legal requirements for hiring, termination, and payroll processing is a must. Must be able to work independently with minimal supervision. Must be professional at all times and demonstrate excellent verbal and written communication skills - there are frequent contacts with multiple universities and medical staff services of hospitals within and outside UPMCHS to include State Boards, Dean's office of the School of Medicine.


The incumbent will work primarily out of Scaife Hall, but will also spend time periodically at other UPMC facilities, such as UPMC Mercy, UPMC Presbyterian, and Children's Hospital of Pittsburgh of UPMC.


  • Ensures that work meets deadlines and standards of quality and accuracy.
  • Is responsible for payroll management faculty and staff.
  • Must know UPP and University of Pittsburgh staff policies and procedures.
  • Will be responsible to approve and sign off Kronos and Prismtrks.
  • Works closely and communicates with UPMCHS and University of Pittsburgh Payroll.
  • Must be well versed in UPP and University of Pittsburgh time and attendance policies.
  • Maintains effective working relationship with physicians and staff to maximize their compliance.
  • Facilitates working relationships among all member of the heath care team.
  • Must be able to suggest methods and procedures to improve departmental operations.
  • Must be familiar with UPP and University of Pittsburgh payroll policies and procedures.
  • Obtain clinical privileges for faculty and allied health professionals at all area hospitals. Ensure these do not lapse.
  • Prepares and coordinates paperwork related to initial faculty recruitment, faculty and allied health professionals' credentialing and enrollment.
  • Prepares offer letters for post-doctoral associate and health research staff.
  • Must coordinate all visa paperwork with Department of Medicine and Office of International Services.
  • Provide general human resource services to the faculty and staff, i.e. FMLA, benefit information, policies and procedures related to discipline, performance improvement, job descriptions and performance evaluations.
  • Puts together faculty dossiers for academic promotions. Must be familiar with Policies and procedures for faculty promotions and tenure.
  • Serves as liaison to other hospital departments to assist with process and work flow improvement.
  • Will supervise project coordinator and clerical staff.


  • Bachelors degree in Health Care Administration, Business, or related field required.
  • Experience in a health care setting or other professional related field is required.
  • Prior Human Resources experience a plus.
  • Finance and/or legal knowledge is a plus.
  • Knowledge of University of Pittsburgh policies and procedures a plus.
  • Strong Excel skills preferred.
  • Experience with operations and/or process improvement preferred.
