Magee-Womens Hospital of UPMC is currently hiring an Office Manager!  This individual will supervise office support staff, coordinate and direct administrative support service and provide advanced administrative support to the Environmental Services department.  They will work closely with the Hospitality Manager to ensure appropriate scheduling, staffing, and onboarding of hospitality departments including, but not limited to (Environmental Services, Food & Nutrition, Transport).

  • Arrange meetings, schedule room, reserve audiovisual and related equipment, generate agenda and produce required materials.
  • Assist in formulating, administering and maintaining departmental policies and procedures, and notifies staff of additions or modifications. Interpret Hospital policies for assigned personnel.
  • Compile data, draft correspondence, and generate letters, reports and special materials utilizing the personal computer to perform word processing, spreadsheet, graphics or related software.
  • Design and manage office systems to organize activities. Oversee coordination with other departments.
  • Ensure adequate resources by overseeing the ordering, supply and operation of the office.
  • Implement proper filing and record keeping procedures and coordinate work flow.
  • Interview and hires office staff. Orient, train, evaluate and provide ongoing development for staff.
  • Make travel arrangements for designated personnel.
  • Oversee actual versus budgeted expenditures. Prepare variance reports.
  • Perform special projects and various administrative assignments. Coordinate special events.
  • Prepare and approve confidential personnel documents including performance reviews, timesheets, and payroll check requests.
  • Prepare and monitors operating, staffing and/or capital budgets in assigned area.
  • Prepare reports, spreadsheets or presentation graphics.
  • Responsible for following the mandatory reporting procedures for any incident or serious event that did affect or potentially could have affected the clinical care of any patient.
  • Supervise assigned clerical and office staff to ensure efficient operation of the area and appropriate scheduling and coverage.
  • Take meeting minutes, proofs and issues to appropriate parties.


  • Bachelors Degree in Health Care or Business + 1 year experience OR
  • Associates Degree in Health Care or Business + 3 years of experience OR
  • High School Diploma + 5 years of experience

    Licensure, Certifications, and Clearances:
  • Act 34 Criminal Clearance
