Purpose:

Independently facilitate a wide range of activities for multiple academic and clinical academic initiatives within the Department of Psychiatry and the Western Psychiatric Institute and Clinic (WPIC). These include, but are not limited to, the Clinician Educator Faculty Development Program (CEFDP); the Clinical Value Project (CVP) Grant Program; the Psychiatry Research Pathway (PRP) Program; the Career and Research Development (CARD) Seminars, the Academic Council, and the Education and Residency Training (ERT) Committee. This position is also responsible for overseeing innovative departmental projects.

Responsibilities:
  • Academic Council: Coordinates quarterly agendas and dissemination of materials needed for each meeting Facilitates faculty academic promotions reviews Sends meeting invitations and reminders and tracks attendance Prepares minutes and maintains electronic meeting files
  • Academic Promotions Responsible for reviewing all promotion documentation to ensure compliance with Department and School of Medicine guidelines Provides quality oversight for all promotion dossiers submitted on the Chair's behalf Maintains weekly tracking of all promotions in process and provides status updates Drafts documents and correspondence as needed
  • Annual Conflict of Interest Process: Oversees the collection of the annual conflict of interest (COI) reporting forms for all university faculty members Responsible for sending instructions and reminders as needed and for serving as the liaison between the faculty member and the University's COI Office Reviews completed forms for accuracy, follows up with faculty member on activities cited as needed Prepares management reporting forms for the Chair's review and for submission to the School of Medicine's COI Office Responsible for preparing all documentation needed by the SOM and for submitting such in a timely manner Professionally interfaces with both the SOM and University's COI Offices as well as UPP-Psychiatry and Academic Administration within the Department
  • Annual Faculty Performance Review Process: Coordinates evaluator assignments and timing of process with the Chair, Vice Chair for Clinical Services and Academic Administrator Prepares materials and forms needed as part of the review process Drafts instructions and disseminates to all faculty evaluators with necessary materials Coordinates training workshops for new evaluators Coordinates the Chair's review of all evaluations and the electronic filing of each Responsible for preparing the summary report to the Dean's Office and for responding to annual audit requests Diplomatically follow up with evaluators on late reviews and coordinate assistance with performance issues
  • Career and Research Development (CARD) Seminars: Serves as a member of the planning committee Coordinates agendas and disseminates materials needed for each meeting Prepares minutes and tracks participant progress Schedules meetings and invites/reminds participants as needed Maintains electronic files
  • Clinical Value Project (CVP) Program: Serves on planning committee and coordinates annual training workshops Prepares Requests for Proposals and disseminates to eligible faculty and physicians Oversees the application review process Prepares and disseminates notice of award letters Oversees the collection of required summary reports
  • Clinician Educator Faculty Development Program (CEFDP): Serves as a member of the planning committee Coordinates all didactic sessions, working closely with external and internal presenters on all logistics Prepares minutes for dissemination to the leadership team Responsible for maintaining the two-year schedule, sending invitations and reminders to participants and presenters as needed, coordinating materials and media needed Responsible for collecting and analyzing evaluations from all sessions and preparing overall program summaries Maintain electronic files of all sessions and materials Oversees the application process when the Program is recruiting for a new class Manages all catered events for this program including the Kick Off Luncheon and the Graduation Luncheon
  • Education and Residency Training Committee: Coordinates agendas and dissemination of materials needed for each meeting Sends meeting invitations and reminders and tracks attendance Prepares minutes and maintains electronic meeting files
  • Psychiatry Research Pathway (PRP) Program: Serves as a member of the planning committee Coordinates agendas and disseminates materials needed for each meeting Prepares minutes and tracks participant progress Writes materials for the Departmental website that describe program and news items related to program participants Plans and oversees all logistics associated with resident recruitment events Oversees planning of events such as the annual retreat, quarterly participant reviews Maintains electronic files

Qualifications

  • Bachelor's degree 
  • One to two years of work experience required, within an academic setting preferred 
  • Highly developed organizational skills and ability to effectively prioritize and multitask a must 
  • Excellent oral and written communication skills required 
  • Excellent working knowledge of Microsoft Office products 
  • Ability to work under pressure and within tight deadlines key 
  • High degree of professionalism a must

Licensure, Certifications, and Clearances:
  • Act 34 Criminal Clearance
