Western Psychiatric Institute & Clinic of UPMC is currently hiring a part-time Assistant Research Coordinator.  This individual will assist with project coordination and administrative functions for the research project for the Office of Educational Resources and Planning-OERP (officially the Office of Education and Regional Planning).

  • Apply for and obtain certifications for courses sent to OERP for licensure credentialing.
  • Assist in developing and implementing accreditation procedures for all OERP educational programs.
  • Assist in the development and ongoing maintenance of the OERP website.
  • Assists the data manger in organizing and tracking all of the project data.
  • Attends and provides information/reports from outside meetings as they pertain to research and this project in general.
  • Become familiar with the accreditation offices, rules, and regulations for the following (this list is not an exhaustive list): � Continuing Medical Education credits (CME) � Center for Continuing Education in the Health Sciences (CCEHS) � Social Work (Licensed Professional Counselor-LPC; Licensed Family and Marriage Therapist-LFMT; Licensed Clinical Social Worker-LCSW; Licensed Social Worker-LSW) � University of Pittsburgh School of Social Work � Certified Rehabilitation Counselor (CRC) � Commission on Rehabilitation Counselor Certification � NBCC - National Board for Certified Counselors � Certified Alcohol and Drug Counselor (CADC); Certified Co-Occurring Disorders Professionals (CCDP), etc. � Pennsylvania Certification Board
  • Collect mail and scan/sort paper assessments into appropriate electronic folders for distribution.
  • Communicate effectively with staff from various PA counties and agencies to maintain efficient communication and consistency regarding data gathering and data entry.
  • Create accreditation certificates for program attendees.
  • Delegates and monitors the assignments of the project's office staff.
  • Ensure that the flyers/information from educational programs have the proper wording and format in accordance with the accreditation bodies.
  • Follow up on missing data to ensure that data entered is complete and includes all required information for processing.
  • Independently interacts with the Office of Grants and Contracts regarding budgetary protocols: assists in the monitoring of the project budget.
  • Initiates and maintains communication with study participants, including project descriptions, phone reminders of scheduled interviews, thank you and payment letters.
  • Maintain accurate and complete records for all data received in the tracking database that includes participant IDs, instrument completion status, dates received and processed, etc.
  • Monitors and tracks all participant payments (WePay) and reconciles all of these project payments in a timely manner.
  • Obtain and enter relevant OERP key indicator data.
  • Performs administrative/secretarial responsibilities for the daily management of projects.
  • Performs typing, proofreading and editing of all project correspondence.
  • Provide on-site support for educational conferences when necessary.
  • Provide support to other OERP staff members in their duties.
  • Reconciles and maintains project related travel arrangements as well as purchase requisitions for equipment and disbursement requests for project staff.
  • Responsible for the maintenance of all office equipment for this project.
  • Responsible for the scheduling and completion of family interviews.
  • Timely and accurate data scanning, entry, verification, and cleaning of data from various PA counties for descriptive, longitudinal, outcome, and fidelity studies.


  • High School Diploma/Some college education.
  • Associate degree preferred.
  • Previous experience as an Office Manager or Administrative Assistant/Senior Secretary.
  • Basic familiarity and experience with Microsoft Word, Outlook, Microsoft Excel and Access.
  • Ability to interact effectively with Faculty, staff and family members participating in the project.
  • Excellent organizational and interpersonal skills.
  • Prior research experience strongly preferred.
  • Prior experience with coordinating research projects preferred.

  • Act 31 Clearance
  • Act 33 Child Clearance with Renewal
  • Act 34 Criminal Clearance with Renewal
  • Act 73 FBI Clearance
