Magee-Womens Hospital of UPMC is currently hiring a Data Specialist!  This individual will perform a variety of moderately complex clerical functions requiring the exercising of judgment and knowledge of the offices systems and procedures. This position is the primary contact for administration, operation, maintenance and operation of, and reporting from, software and databases used by the Facilities Management Department. Day-to-day work will involve the use of a computer terminal or other standard office systems and equipment.

  • Answer telephone and/or receive visitors to the department; receive requests for regular maintenance services; take and relay messages and dispenses routine information.
  • Arrange meetings, schedule room, reserve audiovisual and related equipment, generate agenda and produces required materials. Accompany Director to meetings to take meeting minutes, and proofs and issues minutes to appropriate parties. Make travel arrangements as necessary.
  • Assist with the design of some new forms for the department.
  • Assists in formulating, administering and maintaining departmental policies and procedures, and notifies staff of additions or modifications. Interpret Hospital policies for assigned personnel.
  • Classify, cross-index and file material such as correspondence, requisitions, reports, technical documents and so forth, which require a sound knowledge of the office or department filing and retrieval needs.
  • Creates, runs and edits for accuracy, credit, debit and personnel monthly billing reports for the General Accounting Department.
  • Ensure adequate resources by overseeing the maintenance, ordering, supply and operation of the office and office equipment and materials as requested.
  • Ensures adherence to departmental staffing guidelines and the completion of accurate timekeeping through timekeeping system (Kronos).
  • Gathers data from a variety of sources and prepares standardized reports involving a factual representation of the data obtained and relatively routine one- and two-step arithmetic.
  • Maintains the daily information on the Hospital Bed Board as it pertains to department work to keep the clinical staff aware of issues and schedules.
  • Manipulate computer databases involved with the preventive maintenance system to include entering, editing, deleting and indexing records from various files.
  • Perform the routine posting of information to departmental attendance records, which does not require additional training.
  • Report to the Director or Assistant Directors all emergency situations or notifies appropriate crafts for corrective action in their absence. Initiate calls for emergency-type service.
  • Responsible for following the mandatory reporting procedures for any incident or serious event that did affect or potentially could have affected the clinical care of any patient.
  • Responsible for maintaining the Joint commission Electronic Statement of Conditions on a monthly basis through their website and reporting the status to the Hospital Safety Committee and Fire Safety subcommittees.


  • High school diploma or equivalent required.
  • Associates degree with two years of experience with data management preferred
  • Or four years of experience with data management to sufficiently evaluate data needs, implement and maintain systems to develop successful solutions to issues.
  • Previous knowledge of the use and operation of TMS, Aperture, Kronos and/or Crystal Reports is preferred.
  • Ability to classify and cross-index as well as perform routine filing of some office material.
  • Ability to logically research documentation error or record retrieval problem situations using knowledge of the Departments record keeping system.
  • Ability to operate standard office machines such as a microfilmer, calculator, photocopier, typewriter, and computer terminal.
  • Typing accuracy at a reasonable speed necessary to complete forms in a proficient manner.
  • Must possess a working knowledge of MS Office software package including Excel and Power Point, and have demonstrated ability to create and modify these programs for productive use by the department.
  • Regular interpersonal contact with department staff and customers, including (but not limited to patients, visitors, contractors, suppliers, clinical staff, senior management and physicians
