Under the general supervision of the Vice President for GME, and the Associate Dean for GME; the Graduate Medical Education Project Specialist is the responsible for assessing, collecting, organizing, preserving, maintaining control over, and providing appropriate access to information in support of Graduate Medical Education and its trainees. The information maintained by this person in this position can be any form of media (photographs, video or sound recordings, letters, documents, electronic records, credentials, etc.). Additionally, the GME Project Specialist would be responsible for maintaining the administrative and operational integrity of the GME Office in order to appropriately process confidential information, calendars, email, records, and correspondences in accordance with state/federal laws, accreditation requirements, UPMC policies, regulations and standards. Be a key professional functioning as a liaison between Program Directors, Coordinators, House Staff, Vice President for GME and the GME Office.

Responsibilities:
  • Assess, evaluate, compose correspondence for, communicate with lending institutions, process and maintain files containing copies of loan deferments and forbearance documents.
  • Assist in ensuring compliance with all applicable federal, state, accrediting bodies and institutional policies/laws governing graduate medical, dental, podiatry, and pharmacy education.
  • Assist with populating in PeopleSoft the appropriate demographic information for all new residents and clinical fellows-all the while maintaining a high attention to detail.
  • Collaborate with GME Office Team members to ensure continuation of educational compliance, evaluation, and quality.
  • Compose correspondence for, communicate with, and manage resident/clinical fellow verification request for credentialing, state licensure/medical staff privileges, etc.
  • Maintain an up-to-date electronic database documenting action taken on each request for verifications, affiliation agreements, etc.
  • Provide Notary services to residents and clinical fellows and maintain records of these transactions.
  • Provide on-going support for GME executives by maintaining and appropriate access to privileged and confidential information as it relates to the administrative and operational integrity of the GME Office-including calendars, email, and documents/letters.
  • Provides comprehensive support for GME. Acts as a liaison between GME and key GME constituents including but not limited to being responsible for ensuring program compliance with policies established by UPMC, UPMC PSD, UPMC ME, UPMC UPP, UPMC GME, external agencies, and other key groups in relation to managing information coming into and going out of the UPMC GME Central Office

Qualifications

  • B.A degree in Business, Health Care Administration or related field and 2 years of experience preferably in a health care setting.
  • OR Associates Degree in Business, Health Care Administration or related field and 4 years of experience preferably in a health care setting.
  • Computer proficiency using PeopleSoft, Microsoft Office Products including Word, Excel, and Outlook.
  • Familiarity with the Graduate Medical Education Residency Online Coordination System (GMEROCS) a bonus.
  • Excellent interpersonal communication and customer service skills and the ability to apply these skills consistently and effectively with medical professionals, administrative and hospital personnel, regulatory agencies, co-workers, etc.
  • Organizational skills including ability to prioritize, meet deadlines; complete multiple tasks in a limited amount of time; and process large volumes of electronic data and paperwork efficiently all the while maintaining a high level of attention to detail
  • Ability to work independently and make decisions through appropriate problem solving skills/abilities to meet deadlines and maintain workflow.
