Description

Childrens Hospital of Pittsburgh of UPMC is currently hiring a Coordinator, Satellite Office.  This individual will provide complete administrative support to the satellite clinic in Sewickley, through the management of administrative support employees and organization of all administrative functions.

 

This position is full-time, Monday-Friday, daylight hours.

Responsibilities:

 

  • Coordinate office staff, including scheduling, training and providing input for performance reviews and descriptions.
  • Create necessary forms used by the satellite including charge forms, x-ray log sheets, sign-in sheets, courier forms, physician/clinician schedule change forms, cover letters, fax cover sheets, etc. Order and maintain satellite office supplies.
  • Direct calls to appropriate staff and/or physician.
  • Ensure daily patient charges, diagnosis codes, attendance, and registrations are activated to hospital standards.
  • Organize and maintain administrative files including statistics, daily activity, responsibility and usage reports. Manage patient charges and filing system in accordance with Hospital standards.
  • Oversee and perform accurate and time-efficient registrations including diagnosis and order-entry activities.
  • Participate in administrative meetings including reviews of JCAHO standards and satellite office coordinators' group sessions.
  • Prioritize and delegate daily office activities. Maintain monthly calendar for the front office. Maintain physicians' and clinicians' schedules on the Hospital's computer system including building templates, block-outs and re-schedules.
  • Responsible for reviewing daily DTARS to assure order entry process is being done correctly.
  • Responsible for updating charge capture binder and being prepared for internal audits.
  • Schedule patients for new and return appointments including various ancillary procedures such as x-rays, CTs, MRIs, EEGs, EKGs, sweat tests, etc.

Qualifications

  • Demonstrated proficiency with computer software including Word, Excel and Hospital systems.
  • Interpersonal skills necessary to effectively communicate with all levels of Hospital staff, parents and patients.
  • High School Diploma/GED required.
  • Three years of Secretarial and/or administrative support experience.
