Children's Hospital of UPMC is currently hiring a Gift Processing Specialist to work in their Foundation Operations department. This individual will transfer donor pledge and contribution information from source documents to the Foundation's specialized fund-raising software. They will also perform donation coding according to the donors' wishes, handle all proofreading of data entry and acknowledgment letters, use word processing/spreadsheet software to compose/generate standard and special-purpose correspondence, forms, reports, logs and mailing lists, prepares daily bank deposits, and updates and edits files.

Responsibilities:
- .Process credit card authorizations via the processing software program for Visa, MasterCard, Discover and American Express credit card donations. Process web credit card gifts as needed.
- Complete assigned projects to keep database current and accurate. Maintain the filing, storage and retrieval of functional reports, transfers, gifts-in-kind, cash receipts back-up and pledges in hardcopy.
- Correctly enter tribute gift information, researching missing data when necessary. Send correspondence to family member(s) of tribute gifts as indicated, customizing as needed.
- Courteously and promptly respond to inquiries from donors and staff regarding gifts and acknowledgments. Generate various reports and lists as needed.
- Enter donor and contribution information and verify entries to ensure accurate donor and donation records on 30,000 gifts annually. This includes cash, checks, pledges, credit cards, gifts-in-kind, payroll, and matching gifts. Confirm correct tax-deductible receipt amounts and produce gift reports. Proof own and others' work.
- Enter pledges and donations given through the United Way and Combined Federal Campaigns and send appropriate acknowledgments.
- Generate and verify acknowledgment correspondence, using decision-making techniques to customize correspondence as needed. Proof gift acknowledgment letters to ensure accuracy. Adjust letter merges as needed.
- Make accurate coding decisions on donations in a manner consistent with the donors' wishes and the method of solicitation. Question coding when appropriate. Recognize when to notify development officers of donations and when to obtain additional information.
- Prepare daily bank deposits (coin, currency and checks) received by the Foundation, including copying checks and attaching appropriate documentation, preparation of deposit slips, and security pickups. Assist with accounting procedures, including daily batch reconciliation and record keeping.
Qualifications
- High school diploma.
- One year of database or data entry experience preferred with exposure to a general clerical environment.
- Proficiency in Microsoft Office software applications.
- High level of attention to detail and ability to work quickly, efficiently and accurately. Willingness to work as part of a closely-knit team.
- Good organizational skills, ability to coordinate multiple tasks, and manage time effectively.
- Basic knowledge of accounting concepts, including account reconciliation.
- Willingness to assume responsibility and complete projects with minimal supervision or direction.
- Capable of exercising sound judgment and asking questions when necessary to maintain the integrity of the department database.
Ability to type 40 wpm.
