University of Pittsburgh Physicians is seeking a full-time Senior Practice Manager to support the Division of Pediatric Endocrinology and Diabetes at UPMC Children's Hospital of Pittsburgh!

The Division of Pediatric Endocrinology and Diabetes at UPMC Children’s Hospital of Pittsburgh is a large, thriving program dedicated to evaluating and treating children and young adults affected by a wide range of endocrine conditions. Currently ranked by U.S. News and World Report as the 6th Best Pediatric Diabetes and Endocrinology Program in the country, the Division is a national and international leader in research, teaching, and clinical care.

With over 30 physicians and APPs, and a large team of nurses, dietitians, social workers, and administrative personnel, there is tremendous collaboration and support to ensure our patients receive the very best care possible.

The Senior Practice Manager will manage all operational aspects of the practice sites to ensure quality patient care. This position will oversee process improvement initiatives, all administrative functions and processes, all staff (including satellite locations), physician utilization processes, patient flow, and billing and finances. 

The ideal candidate for this position will have management experience in a physician practice environment, with a working knowledge of EPIC and/or previous pediatric work experience being a plus. 

  • Ensure appropriate and high quality staffing through the strategic placement of office coordinators, office, and practice managers.
  • Supervise and oversee practice budgets.
  • Develop and maintain a patient-centric culture, centered around patient arrival and follow-up activities in line with the consumerism initiatives, if applicable.
  • Serve as liaison to various UPMC departments and resources.
  • Serve as liaison for renovations, construction, and building utilization with UPMC and outside construction services.
  • Develop strategic plans for practices.
  • Monitor practice operations to identify areas for improvement, expansion of services, and potential new market areas.
  • Ensure compliance with all UPMC policies and procedures.
  • Communicate effectively with staff, physicians, and peers through oral and written communications.
  • Assist in the due diligence, practice valuations, contract negotiations, and staffing as required.
  • Assist in physician relations as necessary.
  • Maintain knowledge initiatives as it relates to the operation of the practices.
  • Oversee and assist in the recruitment of staff and new practices.
  • Review and evaluate the effectiveness of current procedures and plans with Office/Practice Manager and Physician to develop and implement new, more efficient systems and procedures as required to improve office operations.
  • Monitor and meet practice-specific benchmarks inclusive of point of service and scheduling (inclusive of template management for timely patient access), if applicable.
  • Administers the day-to-day operations of the practice plan operations. 
  • Promote the effective and timely communication of information within the department/division(s).
  • Monitor clinical productivity of the practice, and develop and implement process improvement programs for clinical operations to include patient access, patient flow, charge entry, etc.  
  • Work with providers, practice clinicians, and scheduling staff.
  • Hire, orient, and monitor performance of personnel. 
  • Provide instruction concerning goals, mission, policies, procedures, and work standards. 
  • Ensure that all clinical employees meet their licensure requirements.
  • Develop and oversee office capital and operating budgets.  
  • Allocate and authorize appropriate expenditures. 
  • Manage area of responsibility to meet budget targets and accomplish fiscal objectives.
  • Ensure a positive customer service atmosphere and interactions within practice through ongoing training, development, and monitoring of staff.
  • Seek physician and staff feedback to ensure interactions are appropriate.
  • Manage the professional fee revenue cycle, including charge lag, denial management, encounters without charges, co-pay collection, etc. 
  • Manage areas of responsibility (along with Research Administration) for departmental research or other grant revenue.


  • Bachelor's Degree in Health or Business Administration AND three years of office management experience, including one year in a healthcare organization. 
  • OR Master's Degree in Health or Business Administration AND one year of office management experience in a healthcare organization. 
  • OR Associate's Degree in Health or Business Administration AND eight years of office management experience, including one year in a healthcare organization. 
  • OR High School Diploma AND eight years of office management experience, including one year in a healthcare organization.
  • Working knowledge of EPIC and/or Cerner systems is a plus.
  • Previous experience in a pediatric work environment is a plus.

Licensure, Certifications, and Clearances:
  • Act 31 Child Abuse Reporting
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance
