Facilities Regulatory Coordinator (UPMC Cole)

Assists the Director in implementing activities to meet regulatory guidelines; works in a harmonious manner with management staff of the Engineering Department and all personnel so that jobs may be performed in the most feasible, expedient manner. The Facilities Coordinator will also be required to coordinate and preform repairs/preventive maintenance associated with various life safety systems and equipment. Additional experience with general building maintenance is desired.

  • Maintains CPI information for Safety Committee.
  • Must have the ability to supervise and instruct others; participates in the training and orientation of new employees.
  • Shall assist in reviewing and updating department manuals, to include, but not limited to, disaster manual as it pertains to campus/building utilities and department SOP manual.
  • Oversees the operation of the work order system as it relates to compliance related equipment/asset risk assessment, maintenance and applicable reporting standards.
  • Monitors and evaluates trends and implements action plans and activities addressing areas of non compliance
  • Responsible for preparing and transmitting faxes as requested. Sends notices; takes minutes and transcribes record of monthly Safety Committee meetings.
  • Manages Engineering & Maintenance incident reports/ACQCR reports; enters report data on Risk Master System for corporate insurance; completes all applicable report follow up as requested by corporate insurance.
  • Responsible for entering purchase order information in order to obtain PO number.
  • Assists the Director in managing the Statement of Conditions and related Plans for Improvement, in managing the periodic performance review updates and in conducting walkthroughs for TJC, DOH and any other regulatory agency.
  • Assists Director in managing all EOC and regulatory agency (The Joint Commission (TJC), Department of Health (DOH), Environmental Protection Agency (EPA), OSHA, etc. compliance related programs. .
  • Keeps management apprised of problems which have arisen as a result of day to day operations or through Committee involvement; makes suggestions when appropriate to resolve issues.
  • Serves on appropriate committees ensuring all applicable Engineering & Maintenance (E&M) and EOCmanagement plans and policy and reporting requirements are completed on schedule
  • Manages the compilation and presentation of EOC documentation at TJC, DOH and other review sessions. Assists the Director in ensuring all DOH and TJC requirements related to the disciplines represented in the Department are met.
  • Assists in annual budget preparation.
  • Serves as liaison for accreditation and regulatory compliance to staff at all levels of the organization.


  • Bachelor Degree in healthcare related field 
    • OR in lieu of a degree a high school graduate with prior experience in regulatory compliance and preparation in a healthcare setting; 
  • Good supervisory skills preferred.
  • Must have a valid Pennsylvania driver's license.
  • Working knowledge of accreditation standards and regulatory compliance in the areas of The Joint Commission, Department of Health, DEP, OSHA and other various regulating agencies in a healthcare setting.
