University of Pittsburgh Physicians is seeking a full-time Administrative Coordinator to support the Center for Community Hospitalist Medicine at UPMC Passavant – McCandless!

Travel is required for this position, as the Administrative Coordinator will work out of UPMC St. Margaret approximately two times per month. Additionally, there will be occasional visits to UPMC East and/or UPMC McKeesport.

Under general direction, the Administrative Coordinator coordinates the workflow of administrative and/or clerical employees, and provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division. This position will support the CCHM Program, as well as the Medical Director, in a growing, dynamic department.

Duties for this position include, but are not limited to, providing direct administrative support to the Medical Director, submitting order/supply requests for the department, managing the hospitalists’ on-call schedules and updating department schedules, providing ID badges, serving as a point of contact to the Forbes Tower office, and other general administrative tasks (mail, faxing, answering phones, etc.).

The ideal candidate for this position will have exceptional multitasking and organizational skills, as well as be extremely adaptive and cooperative in a growing, ever-changing department. A post-high school degree is preferred, but not required, as is previous work experience in a medical office/healthcare setting. Strong Microsoft Office skills are highly preferred, specifically in Word, Excel, PowerPoint, Outlook, and Teams.

  • Plans conferences for department and department head.
  • Under general direction, coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple department or division (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments, etc.).
  • Performs all responsibilities of an Administrative Assistant Senior.
  • Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and Administrative Coordinator will draft more material based on initial ideas).
  • Reviews administrative procedures and operating practices, and makes recommendations to increase efficiency.
  • Assists in recruiting, hiring, training, and evaluating the performance of employees.
  • Analyzes complex information requests and determines complex trends.
  • Develops reports for executive or department.
  • Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events).


  • High school diploma or equivalent.
  • Five years experience in an increasingly responsible administrative support role.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products.
  • Proficiency in Word, Excel, PowerPoint, Teams, and Outlook preferred.
  • Advanced knowledge of business processes and procedures.
  • Working knowledge of accounting and financial principles and functions.
  • Ability to analyze data.
  • Ability to use discretion and independent judgment.
  • Previous healthcare work experience is a plus.
  • Strong scheduling and/or calendar management skills preferred.
