Purpose:
Under the direction of the Health Information Department Director, the Data Quality Reviewer will provide quality check audits for the following areas: File Area, Scanning Operations, Record Completion, and Release of Information. The Data Quality Reviewer interacts closely with the HIM Managers and Coordinators and acts as an advisor to management and staff on issues related to the quality of work produced in the HIM department. Based on findings, the Reviewer will determine which staff members need to be retrained on specific functions and which areas need to focus on quality improvement. The incumbent must have an understanding of every job function within the HIM department and provide quality checks of the work produced in these areas. The refinement of the quality measures for each functional area must be assessed and updated as needed. The Data Quality Reviewer is required to assist with the reporting of quality assurance activities, development and implementation of policies and procedures, assess job functions and interact with the department managers to ensure proper workflow/work processing.

Responsibilities:

  • Generate, analyze and submit information regarding the status of various projects and accomplishments of each functional area; assist with developing annual goals for each area when requested; and provides updates regarding the status of these goals to the Director as requested.
  • Meet monthly with each manager in each functional area reviewed to discuss individual employee findings. Provide an update regarding areas of training that need to be focused on as well as areas of retraining that need to occur.
  • Demonstrate a service-oriented approach to this position by conveying courtesy, respect, enthusiasm and a positive attitude for work responsibilities. Show initiative and offer assistance to all Department customers and systems personnel in the completion of the department's goals. Make patient care issues the first priority.
  • Develop audit schedules for each area, ensuring that all staff in each functional area are audited each month.
  • Using the developed tools for each area, provide quality check audits based on the review schedule developed by the Director and Associate Director, in the following areas: File Area, Scanning Operations, Record Completion and Release of Information based on developed guidelines. Review determined number of records for staff from each of the designated areas each month per established schedule. Must shift work activities to meet the changing needs within the department while meeting priorities and deadlines.
  • Develop and maintain a spreadsheet which includes audit finding results for each employee by month; this provides trending data to management and assists with identifying areas where training or corrective action are advised.
  • Works with department staff to develop procedures as needed.
  • Perform special projects and duties as assigned by the Associate Director and Director.
  • Document all issues found during the quality review.
  • Submit a bi-weekly status report to Associate Director and Director by deadline.
  • As requested, assists with development of corrective action plans to improve the quality of staff's work. Recommend to employees any methods to improve performance.
  • Prepare, analyze, and submit a summary of each employee reviewed to the manager, coordinator, if applicable, Associate Director and Director of each employee audited at the end of the review period.
  • Assist the Management team in developing methods and opportunities for attaining greater efficiency and productivity within the department. This includes assisting with the development of performance standards for staff in the department.
  • Prepare, analyze, and submit a global summary of audit findings at the end of each review cycle of each functional area to the manager and coordinator of the area, the Associate Director and. This information should be presented at management meeting once a month.

 

Qualifications

  • A recent college graduate of an approved Health Information Management or medical/technical program preferred. 
  • In lieu of this, a high school graduate or equivalent, three to five years of experience working in a hospital Health Information Management department would be considered.  
  • Must demonstrate excellent analytical, organizational and communication (verbal and written) skills. 
  • Must be detail orientated and able to complete complex audits, summarize findings and present results to management and/or committees at meetings. 
  • Able to work independently; flexible hours and shifts may be required. 
  • The ability to elicit and practice cooperation and positive morale is essential.
  • Previous knowledge of scanning operations, release of information, and record completion is preferred. 
  • Must be able to demonstrate professional and diplomatic behavior in communicating with health care professionals. 
  • Proficiency in computer skills is required.

    Licensure, Certifications, and Clearances:
    Registered Health Information Administrator (RHIA), Register Health Information preferred.
