Description

Scaife Support located in the Merex building at UPMC Presbyterian is looking for an Administrative Specialist- Senior! This position is full-time with up to 40 hours per week. The shifts are Monday through Friday, working either 7:00am to 3:30pm or 8:00am to 4:30pm; occasional weekend shifts may be required. The main job responsibilities include scheduling in Outlook, proof reading department communications, completing payroll via Kronos, answering phones, organizing charts, assisting with expense reports, etc. Administrative/Secretarial experience in healthcare and knowledge of Microsoft Office Suite (Word, Excel & PowerPoint) is required.

Purpose:

Provide administrative and support services to department management in order to ensure effective and efficient operations.

Responsibilities:
  • Prepare and maintain the executive payroll time sheets for signature and submit to Corporate Payroll for processing.Complete timecards for Corporate Payroll through Kronos as requested.
  • Prepare and maintain all correspondence, action agendas and filing systems.
  • Maintain statistical data, creates and maintains data in spreadsheets or other format as required.
  • Review and prioritize mail for handling as necessary and follow up to ensure completion.
  • Provide administrative and technical support to department management as assigned.
  • Schedule various meetings and notifies members of meeting, prepare documentation (including agendas) of said meetings and prepares information for distribution.
  • Compose and draft routine and specific documents.Record and accurately transcribe meeting minutes as assigned.
  • Make appropriate decisions within a defined scope of authority. Direct other decisions to proper authority in a timely manner.
  • Answer incoming calls in a courteous and professional manner and directs to appropriate personnel.
  • Research, organize and complete projects and assignments in a thorough manner.
  • Accurately maintain appointment calendars as assigned.

Qualifications

  • Associate's degree in Secretarial Science or equivalent education/experience required.
  • 3-5 years previous administrative or secretarial experience in a healthcare environment preferred.
  • Excellent secretarial skills preferred.Proficient in various software packages (i.e. Microsoft Office, Excel, Word & Powerpoint) required.
