Description

Purpose:
Perform all aspects of scheduling duties for all radiology modalities. Schedule patient appointments and communicate with patients prior to and following receipt of outpatient services. Maintain patient demographics and interact with patients and others (on the telephone and in person) in a courteous and respectful manner. Provide day-to-day problem solving and is a resource for concierge schedulers working off-site. Assume the duties of the Scheduling Supervisor when absent. Carry the weekend beeper if the Scheduling Supervisor is absent.

Responsibilities:
  • Schedule exams accurately, both automatically and manually, for all radiology modalities. Adhere to scheduling guidelines for gathering required exam information and conveying restrictions. Enter data into the computer and processes requisitions to confirm data entry.
  • Assume supervisor's responsibilities in the supervisor's absence.
  • Demonstrate thorough knowledge of the programs and services of the UPMC Health System and the ability to access those services. Promote the use of those services to consumers.
  • Instruct patient or family member/significant other concerning available services and programs for financial assistance and pertinent general patient information. Act as a reference for any patient questions, handle when possible and follow up to ensure that each patient inquiry as been satisfied.
  • Gather and record demographic, financial and insurance information on each patient during the initial intake interview which may take place either in person or over the phone. Enter information into the RIS system. Complete appropriate forms. Follow up on any incomplete or inaccessible information to assure a completed record.
  • Act as a resource for other scheduling secretaries. Schedule the more complex imaging exams.
  • Assist with training all newly hired scheduling secretaries.

Qualifications

  • Graduate of a business or secretarial school and 1 year of experience in scheduling is required.
  • Experience in guest relations is preferred.  
  • A thorough knowledge of third-part health care coverage and familiarity with medical terminology is required, including an understanding of Blue Cross, Medicare, Medical Assistance and commercial insurance coverage for hospitalization and outpatient service.  
  • Excellent written and verbal communication skills are required. 
  • Experience with computer-based systems preferred.  
  • Ability to function well under stressful conditions.  
  • Excellent organizational skills, tact, patience and understanding.
