University of Pittsburgh Physicians is seeking a full-time Administrative Coordinator to support the UPMC Lupus Center of Excellence at the UPMC Medical Arts Building in Oakland!

Under general direction, the Administrative Coordinator coordinates the administrative workflow of administrative and/or clerical employees, and provides varied administrative support of a complex and technical nature to a single or multiple department(s) or a division.

The Administrative Coordinator will provide overall support to the Lupus Center, with duties including (but not limited to) organizing physician templates, managing schedules, and providing front desk oversight for the office. Additionally, the Administrative Coordinator will oversee the RAVE (Rapid Access Video Encounter) clinic, which provides patient triage via telecommunication, by managing patient information, coordinating patient appointments, organizing schedules, and additional tasks relating to the coordination of patient care.

The ideal candidate for this position will have previous medical office and/or healthcare work experience, with previous experience with patient care coordination preferred. A working knowledge of EPIC (or other medical scheduling software systems) is also preferred, as are proficient Microsoft Office skills, specifically with Excel.

  • Plans conferences for department and department head.
  • Under general direction, coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple department or division (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments).
  • Performs all responsibilities of an Administrative Assistant - Senior.
  • Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and Admin Coordinator will draft more material based on initial ideas).
  • Reviews administrative procedures and operating practices, and makes recommendations to increase efficiency.
  • Assists in recruiting, hiring, training, and evaluating the performance of employees.
  • Analyzes complex information requests and determines complex trends.
  • Develops reports for executive or department.
  • Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events).


  • High school diploma or equivalent. 
  • Five years experience in an increasingly responsible administrative support role.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products.
  • Advanced knowledge of business processes and procedures.
  • Working knowledge of accounting and financial principles and functions.
  • Ability to analyze data.
  • Ability to use discretion and independent judgment.
  • Previous work experience in a medical office and/or healthcare setting highly preferred.
  • Working knowledge of EPIC preferred.
  • Previous experience with patient care coordination preferred.
  • Proficient Excel skills preferred.
