Description

University of Pittsburgh Physicians is seeking a full-time Senior Practice Manager to support the Department of Plastic Surgery at Scaife Hall on UPMC Presbyterian's campus!

Some travel is required for this position, as the Senior Practice Manager will have oversight duties at numerous office sites, including UPMC Passavant, UPMC St. Margaret, and UPMC Magee-Womens Hospital.

The Senior Practice Manager will manage all operational aspects of the practice sites to ensure quality patient care. This position will be extremely collaborative and interactive with office staff, working hands-on to implement processes, work with continuous process improvement for policies and procedures, delegate appropriate tasks, ensure for consistent and continuous training and education, and act as a mentor within the department.


This position will also be responsible for the growth and development of the practice sites, with a large focus on revenue cycle, general office flow, and maintaining efficient day-to-day operations. The Practice Manager will work directly with practice budgets, patient billing, physician utilization processes, patient flow, and process improvement for billing and finances.

 

Additional responsibilities include, but are not limited to, interacting with patients and obtaining consumer feedback, interacting with physicians to make sure their needs are met, managing employee relations issues, handling staff performance tasks and recruitment activities, and overall management of process improvement and staff collaboration.

 

The ideal candidate for this position will be comfortable and able to thrive in a busy, fast-paced work environment, with a focus for growth and development. The ability to communicate with different levels of staff and a diverse community population is vital to this role, as is the ability and willingness to jump into any needed task in the office. Previous experience with revenue cycle and/or insurance payer knowledge is preferred, as is previous management experience in a surgical, academic, and/or community medicine medical practice. Exceptional communication, organizational, computer, and multitasking skills are also desired. A working knowledge of EPIC/EpicCare, Kronos, and other UPMC-utilized systems are preferred, as well.



Responsibilities:
  • Ensure appropriate and high-quality staffing through the strategic placement of office coordinators, office managers, and practice managers.
  • Supervise and oversee practice budgets.
  • Develop and maintain a patient-centric culture, centered around patient arrival and follow-up activities in line with the consumerism initiatives, if applicable.
  • Serve as liaison to various UPMC departments and resources.
  • Serve as liaison for renovations, construction, and building utilization with UPMC and outside construction services.
  • Develop strategic plans for practices.
  • Monitor practice operations to identify areas for improvement, expansion of services, and potential new market areas.
  • Ensure compliance with all UPMC policies and procedures.
  • Communicate effectively with staff, physicians, and peers through oral and written communications.
  • Assist in the due diligence, practice valuations, contract negotiations, and staffing as required.
  • Assist in physician relations as necessary.
  • Maintain knowledge initiatives as it relates to the operation of the practices.
  • Oversee and assist in the recruitment of staff and new practices.
  • Review and evaluate the effectiveness of current procedures and plans with Office/Practice Manager and Physician(s) to develop and implement new, more efficient systems and procedures as required to improve office operations.
  • Monitor and meet practice-specific benchmarks inclusive of point of service and scheduling (inclusive of template management for timely patient access), if applicable.

Qualifications

  • Bachelor's Degree in Health or Business Administration AND three years of office management experience, including one year in a healthcare organization. 
  • OR Master's Degree in Health or Business Administration AND one year of office management experience in a healthcare organization. 
  • OR Associate's Degree in Health or Business Administration AND eight years of office management experience, including one year in a healthcare organization. 
  • OR High School Diploma AND eight years of office management experience, including one year in a healthcare organization.
  • Working knowledge of EPIC/EpicCare, Kronos, and other UPMC-utilized software systems preferred.
  • Previous management experience in a surgical, community medicine, and/or academic medical office preferred.
  • Previous revenue cycle experience strongly preferred.
  • Previous experience with employee relations, staff delegation, recruitment, and day-to-day office flow preferred.
