Document Imaging Specialist

Perform the duties related to the receipt, review, preparation, scanning, and indexing of employment records to meet regulatory document retention requirements.


  • Sort out different sized documents to ensure efficient and quality scans.
  • Perform quality checks on scanned images. Verify the image as readable by comparing the document on the computer monitor to the original document.
  • Maintain a clean and orderly scan center. Work stations must be kept clear of items other than those to be prepared or scanned. Document bundles must be properly identified.
  • Receive documents from various HR locations and track receipt of deliveries. Maintain confidentiality on all information received.
  • Correspond with and return incomplete documents to HR locations.
  • May work on large volume scanning projects.
  • Respond to e-mail and telephone inquiries in a timely manner.
  • Index documents into the proper document classes, types, and titles, assigning the correct employee ID and name to each document.
  • Organize scanned documents and retain in proper locations for short term retention. File in a timely and appropriate order any documents required for long term retention.
  • Scan documents into the document filing database using imaging technology.
  • Prepare documents for scanning by removing staples, paperclips, rubber bands, etc-, review documents for essential information necessary for the indexing process, and identify documents for correct placement into document classes for scanning. Separate documents accurately with separator pages.
  • Destroy original documents on approved schedule.
  • May assist with file/document audits and/or regulatory requests.


  • High school diploma or equivalent required.
  • Computer and keyboarding skills required.
  • Strong organizational skills and attention to detail required.
