University of Pittsburgh Physicians is seeking a part-time Data Coordinator to support UPMC Transplant Services at the Thomas E. Starzl Transplantation Institute!


This position will work approximately 20 hours per week. The ideal schedule for the Data Coordinator will be Monday through Friday, with hours falling somewhere between 10 a.m. and 3 p.m. daily. The schedule/hours can be further discussed in interviews. 


The Data Coordinator will assist the Director and staff with administrative and data-related functions associated with the productivity systems function. Duties for this position include, but are not limited to, receiving and sending e-mails, preparing reports and collecting/organizing patient information for transplants, putting together mail kits, handling additional incoming/outgoing mail (open, sort, prioritize, etc.), typing and distributing office correspondence, and collecting and documenting data from various sources. The Data Coordinator also may be asked to organize meeting agendas and meeting minutes, coordinate projects and assignments in a timely manner, organize department files and records, and order office supplies.


The ideal candidate for this position will have proficient Excel skills, as well as excellent communication (written and verbal) and organizational skills. A working knowledge of additional Microsoft Office products (Word, PowerPoint, Access) and navigating databases is preferred, while previous work experience in a healthcare/medical office environment is a plus. Any previous work experience with EPIC and/or Cerner is also a plus.

  • Must be process-oriented and must be able to prioritize work to ensure timely completion.
  • Create reports using various software packages including Crystal Reports.
  • Maintain customer confidence and protect the organization by keeping information confidential.
  • Prepare reports, manuals, and literature for the department.
  • Prepare graphs, flowcharts, and slide presentations using various Windows and DOS applications.
  • Organize department files and records.
  • Interface with department heads and hospital administrative staff.
  • Assist the Director and staff with administrative duties associated with the productivity systems function.
  • Coordinate projects and assignments in a timely manner.
  • Reserve conference rooms and order meeting supplies.
  • Excellent communication and organizational skills are required.
  • Must be proficient in Microsoft Word, Excel, Power Point, and Access. 
  • Also have working knowledge of Seagate Crystal Reports.
  • Must also have a working knowledge of a database and how to produce reports by querying the database.
  • Must possess excellent interpersonal skills and must be able to interface with department management and hospital administrative staff.


  • High School diploma required.
  • One year of experience.
  • Excellent written and verbal communication skills are required.
  • Must be able to type 20 to 30 words per minute.
  • Ability to work independently and take responsibility of a project is required.
  • Must be process-oriented and able to prioritize work to ensure timely completion.
  • Must have knowledge of the workings of a database and how to produce reports querying the database.
  • Knowledge of personal computers and various software packages including, but not limited to, Microsoft Word, Excel, PowerPoint, and Access. 
  • Must also have some experience with producing reports using Crystal Reports.
  • Computer programming skills using C or C++.
  • Some knowledge of JAVA is helpful.
