Admin Assistant - Associate

Description

The Administrative Assistant – Associate will provide administrative support to an executive leadership group supporting a behavioral health service line spanning across New York, Maryland, and Pennsylvania offices.

Responsibilities:

  • Maintains multiple leaders/supervisors calendar (i.e., schedules meetings and recurring events, schedules large conference rooms, orders food, ensures applicable equipment is available and ready for meeting, records meeting minutes).
  • Maintains professional appearance and greets, screens, and ensures visitors entering the WPH executive suite are escorted to the appropriate staff member.
  • Orders office supplies and maintains office equipment.
  • Prepares for presentations (i.e., edits, prints, basic formatting functions) for live and virtual assemblies, including recording minutes.
  • Sorts, distributes, prioritizes and composes routine correspondence following established procedures not requiring management review. (i.e., reads correspondence/ highlights important items and sends to supervisor, sends emails sent on behalf of dept head, writes and sends meeting reminders, forwards emails to appropriate distribution list on behalf of department head).
  • Maintains organization of and performs routine clerical functions, such as copying, sorting, filing, typing for varied office files, logs, and records office activities. Must be proficient user of MS platform applications.
  • Multi-tasks and prioritizes compiling and analyzing of information in a timely manner.
  • Answers, screens, and routes incoming calls and messages. Responds timely to routine questions.
  • Maintains multiple leaders/supervisors calendar (i.e., schedules meetings and recurring events, schedules large conference rooms, orders food, ensures applicable equipment is available and ready for meeting, records meeting minutes).

Qualifications

  • High School diploma or equivalent. 
  • One year of administrative experience highly preferred.
  • Active knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products proficiently.
  • Knowledge of business processes and procedures.
  • Ability to use basic reasoning skills
Licensure, Certifications, and Clearances:
  • Cardiopulmonary Resuscitation (CPR)
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
