Description

Purpose:
Provide clerical and broad support to the Corporate Benefits staff. Perform various benefit administrative, customer service functions and clerical tasks, including responding to employee inquiries regarding benefits, office procedures and services. Assist Employee Service Center with benefit administrative functions while learning about employee benefits. All towards the effort to becoming a potential candidate for a Benefit Representative role.

Responsibilities:
  • Prepare and review for completeness tuition assistance paperwork for processing and proactively contact employees for missing data utilizing customer service skills. File processed paperwork.
  • Provide good public relations and customer service for the organization. Maintain clean, organized work area that is professional in appearance for walk-ins and visitors..
  • Open and distribute Benefits mail. Distribute incoming faxes.
  • Provide assistance and customer service to walk-ins to the Employee Service Center.
  • Initial review, verification, log as well as data entry and/or work-flow distribution of various benefit documents, such as marriage certifications, Domestic Partner Affidavits and QMSCOs into HRMS system to learn the in-depth benefit administrative processes.
  • Assist with department projects that require preliminary review and analysis of information.
  • Prepare and mails COBRA enrollment packets, grace period notices and termination notices.
  • Provide clear and concise information to management and staff. Assist other staff in coordinating meetings, projects, preparation of materials and scheduling of the Employee Service Center room.
  • Respond to basic and general inquiries concerning benefits, materials and services from employees by thoroughly learning and understanding the Summary Plan Description (SPD) and benefit processes.
  • Work on special projects and miscellaneous job-related duties as assigned.
  • Prepare, coordinate and maintain an adequate supply of all benefit materials by sorting, copying, stabling, filing, etc. Assist with typing and proofreading as needed.
  • Prepare and mail enrollment packets for new hires and status changes. Mail enrollment confirmations. File Benefits paperwork. Maintain adequate stock of surplus packets.
  • Willingness to learn in-depth employee benefit information and customer service skills by making simple and general outbound and follow up calls to employees as part of training for Benefit Rep position.
  • Oversee office operations, which include ordering benefits supplies and materials. Ensure an adequate supply is available when needed. Maintain unit equipment and service contracts. Ensure the office space is functional, clean and usable for events and daily business.

Qualifications

  • High School Diploma and 3 years of experience required OR Associate Degree and 1 year of clerical or benefits related experience required OR Bachelor's Degree.
  • Proficiency with Windows-based programs, such as Excel and Word required.
  • Familiarity with Peoplesoft is preferred strong customer service orientation required.
