Description

Purpose:
Responsible for providing reporting/database management in relation to the department's computerized maintenance management program; provides clerical assignments within the department as needed; works in a harmonious manner with management staff of the Engineering Department and all personnel so that jobs may be performed in the most feasible and expedient manner.

Responsibilities:
  • Performs needed duties in the absence of the office manager to include schedule preparation/ changes.
  • Processes requisitions for purchase orders and invoice payments through e-Pro
  • Responsible for asset management within the computerized maintenance management system. (Four Rivers TMS)
  • Identifies preventative maintenance work orders that are overdue and notifies management staff accordingly.
  • Maintain the wireless temperature monitoring system.
  • Compiles routine reports and special reports as required.
  • Assists when necessary in receiving incoming telephone calls and relays messages; notifies appropriate employee of emergency situations.
  • Sets up dashboards in computerized maintenance management system for mechanics
  • Suggests improvements to office procedures/routines for more efficient operation.
  • Performs scanning requirements as needed.
  • Accesses internet to perform searches for product/vendor information, utilizes e-mail to interact with vendors.
  • Prepares database reports as needed to facilitate responses to queries.
  • Acts as receptionist; receives staff members, visitors and vendors in a courteous, professional manner when needed.
  • Responsible for copying, collating and disseminating material; prepares and sends faxes as requested.

Qualifications

  • High School Diploma or equivalent, additional education a plus.
  • Two years experience in administrative support. 
  • Working knowledge of word processing, electronic mail/calendar, spreadsheet presentation and database software.
  • Ability to use Microsoft products including e-procurement.
  • Proficient in keyboarding functions.
  • Excellent communication and customer service skills essential.
  • Has knowledge of Joint Commission and DOH regulations a plus.

Licensure, Certifications, and Clearances:
  • Driver's License
  • Act 34
