Description
Purpose:With oversight from the operations manager, the program coordinator is responsible for ensuring the smooth operation of the Critical Care Program with limited overlapping assistance to other service lines, Endo and Hospitalists. The coordinator accurately compiles census, correcting errors as necessary, and distributes the census daily in a timely fashion under the direction of the operations manager. The coordinator additionally provides direct administrative support to specific departments in a pleasant and knowledgeable manner working directly with the providers to ensure excellent patient care and to achieve system goals. The Internal Medicine Program Coordinator performs administrative and clerical duties that support director level management and facilitates the operating efficiency of the office to which it supports. Serves as first-line resource regarding administrative issues related to financial, personnel, facilities, and operations.
Responsibilities:
- Clinician scheduling
- Completing vouchers for: vendors, locum invoices, and clinician reimbursements for conferences and CME
- Clinician payroll
- Assistance with Resident moonlighting
- Clinician competencies
- Organizing Meetings: setting up conference lines, video conferencing, agendas, minutes, catering, etc. (multiple sites)
- Assistance with onboarding of new providers: contacts, orientation, supplies, etc.
- Maintenance of intranet page
- Composing and distributing of departmental memos
- Composing and distributing weekly update email to department
- Census reconciliation and morning management (on weekends)
- Assist with credentialing materials
- Completion and maintenance of state agreements
- Completion and maintenance of supervising and collaborative agreements for APPs
- On occasion travel to our site locations (Harrisburg, Mechanicsburg, Carlisle, York, Lititz and Hanover) to ensure workrooms are adequately supplied: paper, pens, business cards, paperwork, mail, etc.
Qualifications
- High school graduate with business background OR Associate Degree with one to three years of related experience
- Three to five years administrative experience preferably in a healthcare related field.
- Strong communication, interpersonal and organizational skills
- Proficient computer skills and knowledge of MS Office programs.
- Must be able to work a flexible schedule to include day/evening/weekend rotation.
- Must be willing and able to travel (drive via car) to various sites within the programs operations.
- Associates or Bachelors Degree preferred or demonstrated ability towards continuing education in related field preferred.
- Previous healthcare experience preferred.
Licensure, Certifications, and Clearances:
Clearances must be dated wih 90 days.
