Description
Purpose:
Directs, supervises, and coordinates staff and operations at the physician offices and clinic sites of UPMC Pinnacle Hospital to provide quality, cost-effective care.
Responsibilities:
- Manage all functions of the financial and patient management system at physician offices.
- Serve as departmental facilitator for all purchasing and disbursement activities and coordinate with UPMC departments to implement new systems and or system upgrades.
- Identify and resolve work problems to ensure the quality of patient services.
- Train, and supervise assigned clerical personnel at the office and clinic locations.
- Advise management on procurement of services, supplies, and equipment.
- Coordinate with Director of Operations on performance evaluations and disciplinary actions of staff.
- Maintain strict confidentiality related to medical records and other data.
- Communicate effectively with the Director of Operations and physicians providing regular updates on operations.
- Under the guidance of management, manage the procurement function.
- Ensure compliance with all UPMC Health System and PSD policies and procedures, including maintaining patient confidentiality.
- Work with the Director of Operations to coordinate all the physical plan moves in the office and clinic sites.
- Ensure office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
- Manage daily operations at physician offices and clinic sites and coordinate work activities. Manage schedules and call-offs.
- Work with management in procuring supplies and equipment for the clinical practice as well as the Administrative office.
- Retrieve lab results, coordinates prescriptions, and lab testing, obtain insurance authorizations, and update progress notes for clinic patients and maintains a DXA scanning schedule.
- Work with management to ensure operations are aligned with organizational objectives and meet performance and budget objectives.
- Ensure compliance with the requirements of appropriate regulatory agencies (i.e. OSHA, CLIA< PA Department of Health).
- Triages incoming calls/ retrieving messages from multiple phone lines.
- Communicate and instruct department staff on these new systems/upgrades.
Qualifications
- Associates degree in Business or health care related field and 3 years of physician practice experience OR high school diploma and 5 years of practice management or physician revenue experience required.
- Must possess good leadership and organization skills as well as education and communication to the adult learner.
- Experience in an outpatient health care facility is required.
- Customer service skills, analytics, decision-making skills, ability to remain calm in all situations required.
- Ability to listen and communicate effectively with all levels of the organization.
- Ability to prioritize and evaluate priorities in actively changing situations.
- In-depth knowledge of practice operations, insurance/billing, and reimbursement requirements.
- Computer skills mandatory including Word and Excel.
- Clinical knowledge/experience is preferred.
- Travel across all regions is required.
