UPMC Heart and Vascular Institute is currently hiring an Admissions Coordinator to schedule and coordinate Cardiovascular hospital procedures in collaboration with UPMC Heart & Vascular providers. Responsibilities:
- Under the direction of the manager, is responsible for coordination of hospital procedures for UPMC HVI patients
- Coordinates outpatient procedures as ordered by UPMC HVI providers from ambulatory office sites of UPMC HVI Central Region
- Collaborates with UPMC hospital campuses for transfer of patients to Harrisburg Hospital, including scheduling of procedures, and obtaining authorizations for them
- Each coordinator is responsible for the work flow of all procedures and or transfers they receive
- Effectively communicates with UPMC HVI providers to ensure preadmission testing, prep for case and all needed orders are present for proper scheduling
- Responsible for tracking results of pre-admission testing and seeking clinical guidance from the UPMC HVI nursing department as needed
- Responsible to obtain clinical and financial information, verify insurance/payer, appropriately triages, and provides an accept/deny decision in a timely manner according to the authorization process /requirements for the procedures scheduled
- Effectively communicates and collaborates with UPMC HVI RN, and APP staff for arranging peer-to-peer review to secure authorization for procedures as needed.
- Schedules post hospital office visit at the time of scheduling the procedure as per protocol
- Consistently works cooperatively and pleasantly with all staff, residents, family members, and referral sources.
Qualifications
- Associate's degree or completion of secretarial program is preferred.
- High school diploma or equivalent.
- Three years of administrative support experience required.
- Proficient with personal computers, word processing, spreadsheet and data base management, email, and electronic scheduling (Microsoft Word, Excel, Access, Powerpoint) and use of Internet is required.
- Excellent organizational skills and office management experience preferred.
- Courtesy, diplomacy, service excellence, confidentiality and good judgment are inherent in the job and are pre-requisites.
- Ability to communicate with all customers including residents, family members, visitors and staff is required.
- Ability to exercise judgment in evaluating problem situations and take initiative in referring such situations to the appropriate person is required.
- Ability to demonstrate composure at all times exhibiting courtesy, respect and a helpful positive attitude at all times in face-to-face and telephone interactions with customers is imperative.
- Ability to prepare accurate typed material and complete assignments with accuracy and attention to details in a timely manner is required.
- Physical activities essential to satisfactorily perform this position involve; balance, crouching, grasping, fingering, kneeling, lifting 35-50 pounds without assistance, pulling, pushing, reaching, standing, and stooping.
- Sensory and communicative activities essential to satisfactory performance in this position include; hearing seeing, smelling, speaking, tolerating an above average level of stress and maximum interaction with people.
- Strong time management skills and the ability to prioritize multiple tasks are required.
- Possibly be exposed to inside environmental conditions, physical hazards and chemical hazards.
Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days
