UPMC Somerset is hiring a Full Time Program Support / Volunteer Coordinator to support the Hospice House in Somerset, PA!
The shift of this position will be primarily Monday through Friday 8:00 a.m. to 4:30 p.m. with rotating on-call coverage.
Purpose:
Manage the day to day operations of the department to meet the changing needs of the hospital and volunteers.
Responsibilities:
- Oversee the planning and implementation of the teen volunteer program.
- Maintain efficient coverage of the Volunteer Department ensuring that phones are answered and visitors are greeted by a person who can assist them and/or take a message.
- Assist management in serving as a liaison to departments in the hospital to establish and maintain harmony between volunteers and staff.
- Arrange orientation and training of new volunteers.
- Manage the evaluation of volunteer performance on an annual basis.
- Manage the volunteer intake process by screening and interviewing potential volunteers.
- Ensure that new volunteers demonstrate the competencies needed for their assignments.
- Assist management in developing and administering recruitment and retention programs.
- Assist management in developing and keeping current volunteer brochures, recruitment information, handbooks, applications, forms and assignment guides.
- Assign candidates to the most appropriate and suitable position based on background, skills, interests, personal preferences, availability, etc.
- Maintain accurate and timely volunteer records and ensures all volunteer records are confidential.
- Perform administrative tasks as necessary, including monthly reports and volunteer newsletter.
- Pursue a program of professional development and adheres to professional standards.
- Counsel volunteers to improve performance and satisfaction and reassigns or terminates volunteers as needed after consulting with management.
- Remain abreast of current trends which will benefit the volunteer program.
- Assist management in planning and implementing recognition programs and procedures to honor and motivate volunteers.
- Serve as an advocate for volunteers by monitoring their experience through daily interaction.
- Intervene proactively to ensure a positive volunteer experience.
- Respond to patient and departmental requests for temporary and ongoing volunteer help within established time frame. Redirect requests if unable to fill them.
- Assist management in establishing policies and procedures, new program development and in-service training. Evaluate their effectiveness on an ongoing basis.
- Arrange supervision of volunteers and notifies the department concerning new volunteer's start date.
- Assist management in planning and carrying out objectives, scope and programs consistent with the mission and needs of the UPMC Health System.
- Maintain up-to-date volunteer schedules.
- Notify departments of volunteer's absences and arrange for substitutes if necessary and possible.
Qualifications
- B.A. degree in human services, personnel or business management, communications or health related field required.
- 1-2 years of experience in volunteer management or an equivalent combination of education and experience required.
