We're hiring an Executive Assistant III for our UPMC Corporate Services Human Resources team! This position works standard business hours, Monday through Friday, on Floor 62 of the US Steel Tower. They will support our SVP & Chief Human Resources Officer (CHRO), our Chief Diversity, Inclusion and Talent Management Officer, and our Sr. Associate, SVP & CHRO.
In this role, the Executive Assistant III will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Responsibilities:
- Use sound judgment and knowledge of UPMC and its policies and procedures to respond to questions, requests, or needs.
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
- Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings.
- Maintain accurate filing systems with the highest regard for confidentiality, organization, and timely retrieval of documents.
- Exercises discretion and independent judgment with respect to matters of significance.
- Interact with staff at all levels in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
- Compile information for the timely preparation of reports and distributes to appropriate individuals within established timelines.
- Record and distribute minutes and other relevant information to appropriate participants in a timely manner.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Performs responsibilities directly related to the management or general business operations of UPMC (i.e., supporting Executive VP of Corporate or Sr VP of Corporate).
- Process incoming and outgoing mail. Maintains confidentiality of mail addressed to the president.
- Arrange travel schedule and reservations for executive management as needed.
- Responsible for processing invoices (eVoucher) and purchasing items (ePro)
- Prepares professional presentations and other documents
Qualifications
- High school diploma and eight years plus secretarial experience in progressively responsible job situations required.
- Five plus years experience supporting at the executive level required.
- Excellent calendar management skills, including the coordination of complex executive meetings.
- Experience assisting management with the creation of PowerPoint presentations.
- Demonstrates proficiency in core MS Office applications, including Word, Excel, PowerPoint and Outlook.
- Experience scheduling travel arrangements for management.
