Combine your leadership skills and office coordinating experience to the next step of your career!  In this role, you will support the Pastoral Care service at UPMC Pinnacle to meet the spiritual, emotional, and religious needs of all our staff, administration, patients, and their families.  This position plays a major role in all the administrative functions within the department.  It does the proper management of administrative aspects for the smooth functioning of managing the department and on-call schedules by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and reporting.

Purpose:
The Office Coordinator manages the front office staff in collaboration with the Department Manager. Coordinates front office scheduling and staff assignments. Serves as resource to address patient, family, staff, or physican needs or concerns.

Responsibilities:

  • Obtain accurate demographic and faith community information.
  • Ensure chaplain/chaplain assistant scheduling is accurate.
  • Develop and maintain a patient-centric culture.
  • Monitor and meet department-specific benchmarks inclusive of point of service and scheduling.
  • Manage front office. Work closely with manager to ensure specific needs are met. Coordinate scheduling and staff assignments.
  • Assists with coordination of chaplain assistant and chaplain training program orientation/training including cross-training to ensure staff availability/coverage requirements caused by vacations, sickness, or peak loads.
  • Compile departmental data on various monthly projects.
  • Ensure a positive customer service atmosphere and interactions in office areas through ongoing training/development/monitoring of staff. Seek manager/staff feedback to ensure interactions are appropriate. 

Qualifications

  • Bachelor's Degree + 6 months of experience OR Associate's Degree in Health Care or Business + 2 years of experience OR High School Diploma + 4 years of experience
  • Prior experience working with the faith community and the community at large is preferred.  


Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
