Manager, Building Grounds

Description

Purpose:
The Manager of Building and Grounds is responsible for managing the physical facilities and related services including supplies; maintenance; housekeeping; security; heating, ventilation, and air conditioning (HVAC); and grounds maintenance. This position is also responsible for developing and implementing policies and procedures related to the organization's physical facilities. This role also oversees related activities such as building maintenance, housekeeping, laundry, couriers, shipping and receiving, security and grounds preservation for present sites, as well as future sites.

Responsibilities:

 

  • Insures proper collection and removal of all biohazards waste material by schedule outside source. Keeps up to date on current OSHA standards and requirements for the same.
  • Oversees building security and safety. Assists with development and implementation of disaster plan. Assists with training staff in use of fire extinguishers and evacuation procedures.
  • Assists and coordinates on assigned building projects, including directing repair, construction, and renovation.
  • Assigns duties to maintenance staff by way of verbal or written instruction.
  • Manages, coordinates, and monitors all maintenance contracts with outside vendors.Oversees performance and maintains records of cyclical maintenance projects.
  • Expectation that during a designated crisis situation will be available, this includes working any additional hours as deemed necessary, checking in with Senior Leader via email or phone and being accessible
  • Oversees continued development of office and sites (exteriors and interiors), building equipment, and grounds.Monitors current inventory level of supplies. Confirms delivery, quality, and quantity of orders.
  • Oversees mail distribution and Courier services to all offices. Manages laundry services for all offices, keep at a 3 day turnaround time. Contacts and works with outside contractors in matters of repairs and improvements to BMA buildings securing estimates for projects over $500.00 in value.
  • Coordinates and schedules maintenance and cleaning activities to ensure facilities are clean, safe, sanitary, and conducive to the delivery of quality patient care.
  • Maintains working knowledge of electrical, plumbing, heating, air conditioning and security systems at all offices.
  • Collaborates with purchasing agent to insure that all supplies are kept at working levels and received in a timely manner. Purchase various items as needed.Maintains all routine equipment used by department personnel.
  • Oversee the daily receipt and distribution of mail to all departments/sites. Formulates a budget for the maintenance department .
  • Prepares work schedules to insure adequate staffing, completes payroll sheets to verify hours worked, verifies that personal, vacation and sick hours are available to the employee when time off is requested/taken.
  • Is available to respond to all building security alerts via telephone calls or reporting to office site as needed to access the situation. Is on call 24 hours a day 7 days a week for problems that may arise at any of the BMA offices.
  • Conducts employee evaluations and participates in the interviewing process. Also participates in the disciplinary process per the BMA Employee Handbook.

 

Qualifications

  • High School diploma or General Education Degree (GED); minimum of 5 years related and supervisory experience; or equivalent combination of education and experience.
  • Must have the ability to read and interpret safety rules, operating and maintenance instructions, and procedure manuals.
  • Must be able to write memos, brief correspondence and procedure manuals.
  • Must be able to effectively gather and relay information to contractors, physicians, and other employees.
  • Must be able to read blueprints and engineering documents related to new construction projects.
