Description

Purpose:
Support the Director of a program in Patient Care Services to ensure effective coordination of processes and information.

Responsibilities:

Assist with the daily operations: 

  • Develop a familiarity with the practice of OR scheduling, join the morning OR huddle each day (Teams) and work closely with the anesthesia chief and CRNA director to optimize OR efficiency and anesthesia staff utilization.
  • Maintain accurate CRNA and physician staffing records as reflected in QGenda (scheduling software).  Communicate physician shift changes and day of surgery staff changes to the anesthesia administration in Pittsburgh.
  • Ensure that physicians are aware of shift changes
  • Support the chief of anesthesia and CRNA director with anesthesia assignments and distribute to the OR leadership and clinical directors.
  • On weekends, ensure that the weekend staff are correctly communicated to the AODs.

Administrative support:

  • Set up meetings, assist with the development of PowerPoint presentations, provide documentation of meeting minutes
  • Assist the chief of anesthesia with emails and coordination of calendar events
  • Establish ongoing communication with business managers within UPP Anesthesia to ensure compliance with policies, updates, competencies, and documentation.
  • Ensure that forms are maintained on a regular basis:  performance evaluations (FIPPEs, OPPEs, and FPEs), malpractice forms, contracts, staff license renewals
  • Track credentialing requirements
  • Assist with flagged anesthesia charts; ensuring timely completion to avoid delays in billing.
  • File all forms for receipt submission and reimbursement of physician and CRNA expenses
  • Assess and track time logs for CRNA’s in Kronos
  • Assist to coordinate the ordering, processing, and delivery of new equipment to designated areas, ensuring that involved personnel undergo appropriate in-service training and information dissemination is well coordinated
  • Participate in budget preparation, communicate with site finance manager, preparation of operational and capital needs.
  • Support projects related to the operations of the patient care areas with the ability to retrieve data, run analytics and track trends: 
  • Answer calls, messages, and answer simple questions
  • patient check-ins and review contact/insurance information
  • compile handouts for patients, order supplies
  • Schedules – track Epic CPC schedule and organize anesthesia consults
  • Work with the pre-op testing dept to ensure that patients have been called and their database is updated prior to the CPC visit
  • Assist with scheduling of tests and authorizations, help track referrals, incoming results, and scanning/categorization of outside records into EPIC.
  • Communication with surgeons’ offices to ensure that all tests and/or consults are complete prior to surgery being scheduled.  Follow-up with No Show’s and reschedule.

Qualifications

  • B.A. degree in Business or health related field or 3 years of business experience.
  • Strong computer skills to include Word, Excel, PowerPoint and Adobe Acrobat.Excellent data entry, written and oral communication skills.
  • Excellent organizational ability.
  • Excellent financial analysis skills.
