Description
UPMC Heart and Vascular Institute is currently hiring an Admissions Coordinator in our Wormleysburg office to schedule and coordinate Cardiovascular hospital procedures in collaboration with UPMC Heart & Vascular providers. In this role, you will act as a liaison between the providers and the patients.
Responsibilities:
- Coordinates procedures of patients with assigned facilities for the Structural Heart Program
- Completes preadmission data entry of demographic
- Maintains referral tracking log and patient communication record (front of file)
- Communicates the need for follow up appointments for patients
- Consistently works cooperatively and pleasantly with all staff, patients, family members, and referral sources.
- Schedules appointments as required by recall and schedule changes
- Monitors in-baskets messages for scheduling appointments/testing/device checks
- Works 1:1 with providers in the office and hospital settings
Qualifications
- High school diploma or equivalent.
- Three years of administrative support experience required.
- Associate's degree or completion of secretarial program is preferred.
- Proficient with personal computers, word processing, spreadsheet and data base management, email, and electronic scheduling (Microsoft Word, Excel, Access, Powerpoint) and use of Internet is required.
- Excellent organizational skills and office management experience preferred.
- Courtesy, diplomacy, service excellence, confidentiality and good judgment are inherent in the job and are pre-requisites.
- Ability to communicate with all customers including residents, family members, visitors and staff is required.
- Ability to exercise judgment in evaluating problem situations and take initiative in referring such situations to the appropriate person is required.
- Ability to demonstrate composure at all times exhibiting courtesy, respect and a helpful positive attitude at all times in face-to-face and telephone interactions with customers is imperative.
- Ability to prepare accurate typed material and complete assignments with accuracy and attention to details in a timely manner is required.
- Physical activities essential to satisfactorily perform this position involve; balance, crouching, grasping, fingering, kneeling, lifting 35-50 pounds without assistance, pulling, pushing, reaching, standing, and stooping.
- Sensory and communicative activities essential to satisfactory performance in this position include; hearing seeing, smelling, speaking, tolerating an above average level of stress and maximum interaction with people.
- Strong time management skills and the ability to prioritize multiple tasks are required.
- Possibly be exposed to inside environmental conditions, physical hazards and chemical hazards.
- Strong preference for prior Epic experience.
Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days
- Act 33 with renewal
- Act 34 with renewal
- Act 73 FBI Clearance with renewal
